Job Summary/Basic Function
This position will serve as the Assistant to the Dean, College of Graduate Programs and Interim Vice Provost for Research and Sponsored Programs. Will use discretion and independent judgment in conceptualizing, planning and directing activities related to the office management and interaction with internal and external constituencies.

Minimum Qualifications

  • Bachelor's degree and at least three years of related experience or an Associate's degree and at least five years of related experience or a high school diploma and at least seven years of progressively responsible related administrative experience.
  • Must have experience in an administrative capacity dealing with critical data and information flow.
  • Critical skills include the ability to interact effectively with multiple constituencies; the ability to provide leadership and direction in a highly independent manner; strong organizational skills as well as effective written and verbal communication skills.
  • Must possess integrity and judgment to maintain strict confidentiality at all times.

Preferred Qualifications

Essential Functions and percent of time
(30%)

  • Work with the VPRI and units to manage the assignment of research space to faculty and research groups to support AFRL/WPAFB and other strategic partners.
  • Responsible for the development and implementation of all communications with internal and external constituents and stakeholders for the units reporting under the VPRI/Dean of College of Graduate programs.
  • Use discretion and independent judgment in interpretation of university, research, and compliance policies.
  • Where appropriate, summarize, provide back-up information, respond on behalf of the Dean/Vice Provost and/or redirect to the appropriate unit for action.
  • Operate in a discrete manner with regard to confidential information
  • Help maintain a comprehensive inventory of research spaces, including laboratories, core facilities, and support spaces.

  • Manage Dean's /Vice Provost's schedule.
  • Use discretion and independent judgment in managing and organizing all aspects of travel, calendar, meetings, conferences, and correspondence for the Dean/Vice Provost.
  • Respond to telephone calls from internal and external constituencies and answer inquiries as appropriate to the executive nature of the office.
  • Send emails on behalf of the units as instructed by the unit leaders.
  • Manage events - tracking rsvp, catering, event books for RSP and Grad School.

  • Participate with committee functions including communications, taking minutes, scheduling meetings and preparing reports.
  • Order and maintain office supplies, office equipment, computer supplies and promotional materials and other items for RSP and CGPHS and all units supervised by the Dean/VPRI
  • Submit work orders to Facilities Operations and Maintenance.
  • Process key requests.
  • Run office related errands as needed, including mail, contact for the office general phone number.

  • Frequently organize and manage special projects and tasks for the Office of the Vice Provost and college of graduate programs.
  • Responsible for monthly procard reconciliations for the units and relevant grant accounts
