Assoc Director of Student Centers and Operations

The Associate Director of Student Centers and Operations ensures the safe and effective day-to-day operations of student centers across campus, including Tyler Haynes Commons, Student Activity Complex, Greek lodges and cottages, and other spaces designated in departments within Student Development. This position plays a key role in facility management, operational planning, and collaboration with campus partners to ensure spaces are well-maintained, accessible, and student-friendly. The Associate Director has primary responsibility for approving space requests in designated student centers, and oversees the staff who manage the Commons front desk operations and marketing/communication efforts. The Associate Director serves on the CSI leadership team and works closely with the office of the Vice President and campus partners to support the evolving needs of student spaces.

This position reports to the Director of Student Involvement and works closely with the Senior Director - Business Operations and Division Resources (housed in the Office of the Vice President), who will participate in goal setting, projects, and performance feedback.

JOB DUTIES/RESPONSIBILITIES:

Facilities & Operations

Student Centers

  • Oversees student-centered facility operations across multiple Center for Student Involvement (CSI) spaces on campus, ensuring that all are effectively managed and student needs are prioritized.
  • Serves as a key liaison with the university campus operations teams, including University Facilities, Risk Management, Events, Conferences & Support Services, and Campus Police related to repair/maintenance, facility improvements, security, and future development of student spaces.

Supervision

  • Provides strategic oversight of front desk and operations within CSI-managed spaces, ensuring alignment with broader departmental goals. Supervises the Manager of Student Centers & Operations, who directly manages the day-to-day front desk operations, student staffing and services in Tyler Haynes Commons and other CSI student spaces, and marketing/communication efforts.
  • Supervises the part-time staff member who oversees the operations of the student-run radio station WDCE. Provides support for facility maintenance, equipment and repair, and licensing agreements.

Procurement

  • Serves as a Procurement Specialist responsible for Cost Center purchases and ensuring compliance with university purchasing and contract policies. Submits purchase orders, requisitions, supplier requests, and contracts. Holds and is responsible for Purchasing cards and reconciliation of purchases.
  • Assists full-time and part-time staff with purchases and payments, including purchase orders, requisitions, allocating credit card purchases, travel reimbursements, monitoring and record keeping, and resolving budget discrepancies.

Divisional Support

  • Establishes policies, procedures, and long-term operational planning for designated student spaces, in partnership with the Office of the Vice President and campus partners. Serves as a member of the Student Development Space Committee and contributes to discussions on future campus projects.

Event Management

Oversees scheduling, approvals, and event logistics for student organization and campus-wide events within designated student spaces, including audio-visual and technology needs. Establishes and enforces facility policies and procedures, ensuring student events are executed safely and efficiently. Oversees key check-in/out procedures for reserved spaces. Oversees operational functions related to fraternity and sorority complexes (10+ buildings), including lease agreements, maintenance coordination, and space utilization.

Fleet Management

Develops and oversees the motor vehicle fleet management plan within CSI, working with Risk Management and University Facilities. Maintains vehicle inventory and maintenance records and ensures compliance with University safety policies. Schedules periodic cleaning and preventive maintenance. Oversees key check-in/out procedures for approximately seven vehicles.

Other Responsibilities

Contributes to long-term planning and strategy for CSI and Student Development operational improvements. Participates in divisional and/or University committees and working groups on behalf of Center for Student Involvement (CSI). Performs additional duties as assigned or necessary.

CONTACTS:

Students: Recruits, trains and supervises students working within CSI; works with student groups on event reservations; engages students in student leader trainings; engages student leaders within fraternities and sororities.

Staff and Other Units: Regularly communicates, partners, and works with staff in University Facilities, Event/Conference/Support Services, Risk Management, University Police, Information Services and Telecom/Multimedia/Support Services to ensure smooth and safe use of student center spaces; interacts with offices who utilize space within student centers.

General Counsel & National Fraternity and Sorority House Corporations: Manages the lease and rental agreements for fraternity and sorority complexes; receives guidance from General Counsel's office on leases.

SUPERVISION EXERCISED: Supervises professional staff and student staff including hiring, scheduling and assigning work, reviewing performance, recommending salary increases, promotions, or terminations.

WORKING CONDITIONS/PHYSICAL EFFORT:

  • Requires some physical activity, physical work; lifting, pushing, or pulling required of objects over 50 pounds.
  • Required ability to climb steps and ladders and walk extensively.
  • Work environment involves some exposure to hazards or physical risks, which require following basic safety precautions.
  • Working periodic evenings and on weekends is a requirement of the position

Ability to be certified to drive University vehicles is required.

QUALIFICATIONS:

Knowledge, Skills, and Abilities:

  • Student-centered approach to work and strong ability to work with historically underrepresented students
  • Comprehensive knowledge of college student development theory, program assessment, and research on student engagement theories
  • Knowledge about student centers facility operations
  • Demonstrated project management experience
  • Attention to detail
  • Ability to learn and utilize specialty software to perform work (e.g., Workday, EMS, ESM, Campus Groups)
  • Ability to work independently in a fast-paced, changing environment
  • Ability to manage budgets and work creatively within budgetary constraints
  • Excellent customer service skills
  • Basic knowledge of audio/visual and sound equipment

Education & experience:

  • Master's degree required, in higher education administration, college student personnel or related field
  • 3-5+ years of experience with student centers/unions, facilities management, campus programming, or student engagement preferred. Demonstrated success leading a team. Demonstrated ability to work collaboratively with students, other units, and committees.
  • Requires valid driver's license and a clean driving history

Scheduled Hours: Monday through Friday, 8:30 am to 5 pm; working periodic evenings and on weekends is a requirement of the position

Salary Grade 7: $58,011 to $76,877
