deputy to the Athletic Director and is responsible for the day-to-day operational management of Athletics across all major functional areas. This position helps ensure that Athletics programs, staff workflows, vendor relationships, operational compliance, documentation, risk management, scheduling, events, facilities, and administrative processes are coordinated and executed to a high professional standard.

Essential Duties:
- Department-wide operational management:
- Support the Athletic Director in managing the daily operations of the Athletics Department. Translate department priorities into operating plans, timelines, staff responsibilities, follow-up systems, and measurable outcomes.
- Coordinate across Athletics units to ensure that daily operations are aligned, organized, documented, and executed effectively.
- Serve as a first point of operational escalation for routine issues that do not require direct Athletic Director involvement.
- Provide dotted-line operational guidance to functional areas including fitness and wellness, sport facilities and events, varsity and club sport operations, recreation programming, and general administration.
- Functional area oversight: Provide operational oversight across the department’s major functional areas, ensuring that each area has clear procedures, communication channels, staffing plans, service expectations, and performance indicators. Make sure facility, event, fitness, recreation, varsity, club, and PE operational needs are coordinated in advance. Functional areas include:
- Fitness and wellness: fitness area operations, wellness programming, user experience, fitness services, equipment readiness, vendor coordination, and safety procedures.
- Sport event and facility operations: facility scheduling, event planning, venue readiness, equipment/storage systems, logistics, safety, vendor support, and post-event review.
- Sport clubs and recreation: student programming, club sport operations, recreation activities, risk documentation, student leadership support, and facility coordination.
- Varsity sport operations: competition logistics, facility preparation, travel/transportation coordination, scheduling support, event operations, and communication with coaches and relevant offices.
- General administration: department records, operational communication, purchasing support, vendor documentation, internal reporting, and cross-unit coordination.
- Physical education operations support: operational support for PE scheduling, part-time instructor contracts, vendor coordination, facility allocation, equipment readiness, student communication logistics, and semester preparation. Academic/curricular oversight remains outside this role unless separately assigned.
- Staff supervision and cross-unit coordination:
- Supervise assigned full-time staff and coordinators and provide dotted-line operational oversight to staff in functional areas as assigned by the Athletic Director.
- Support staff role clarity, workflow coordination, performance follow-up, training needs, accountability, and professional standards. Help functional leads and coordinators solve day-to-day operational problems and align their work with department priorities.
- Promote a professional, service-oriented, collaborative, and accountable operating culture within Athletics.
- Operational compliance, risk management, and documentation:
- Oversee operational compliance processes within Athletics, including risk management, incident reporting, safety procedures, vendor documentation, facility/event protocols, procurement support, staff workflow documentation, and university policy alignment.
- Work with HR, Procurement, Finance, Legal, Operations, Facilities, Security, and other university offices to ensure Athletics maintains appropriate documentation and follows required institutional procedures.
- Vendor, contract, budget, and resource management:
- Oversee or support vendor administration, part-time instructor coordination, outsourced service management, contract-related operational processes, purchasing preparation, budget tracking, equipment planning, inventory systems, and resource allocation.
- Ensure that vendor and service relationships are documented, monitored, and aligned with Athletics needs and university requirements.
- Support the Athletic Director in identifying resource gaps, budget pressures, procurement needs, and service-quality concerns.
- Planning, assessment, and continuous improvement:
- Develop systems to monitor operational performance across Athletics, including facility usage, event delivery, fitness participation, club/recreation activity, varsity support, PE operational needs, vendor performance, safety issues, and user experience.
- Use data, staff feedback, and operational review to recommend improvements in staffing, scheduling, documentation, service delivery, risk management, and department efficiency.
- Improved planning for semester starts, major events, peak facility periods, and annual programming cycles.
- Work toward achieving assigned annual objectives and KPIs, demonstrating accountability for performance and results.
- Perform other duties as assigned.

Required Qualifications:
- Master’s degree in Sport Management, Sport Administration, Recreation Management, Higher Education Administration, Business Administration, Physical Education, or a related field.
- Minimum of seven to ten years of relevant professional experience in serving as operational leadership role in sport administration, university recreation, sport operations, fitness and wellness, facility/event operations, higher education operations, or related fields. At least 3 years of people management experience.
- Demonstrated experience managing or overseeing multiple operational functions within a sport, recreation, education, or institutional setting.
- Demonstrated supervisory experience, including staff direction, coaching, performance feedback, workflow management, team development, and accountability follow-up.
- Broad working knowledge of university athletics or campus recreation functions, including facilities, events, fitness/wellness, recreation programming, club or varsity sport operations, administration, vendor coordination, and risk management.
- Strong ability to manage complex operations involving multiple staff, programs, facilities, vendors, deadlines, and stakeholders.
- Strong organizational, communication, documentation, problem-solving, and judgment skills.
- Ability to work effectively in a bilingual, cross-cultural, and policy-driven university environment.
- Professional working fluency in English and Chinese.
- Ability to work irregular hours as required by Athletics operations and events.
