Essential Duties and Responsibilities
The Associate Director of Enrollment Systems provides insight on the student information system, software integrations, system updates, network maintenance, and other related enrollment applications. The Associate Director of Enrollment System directly oversees and maintains the communication resource management system (CRM), DegreeWorks, Campus Logic, and Courseleaf applications. System maintenance updates and improvements are a priority for optimal system operation. Assists with the integration and optimization of all related student enrollment systems/software to create a cohesive student enrollment and student success experience. Creates and develops procedures and training manuals to ensure accuracy and consistency across departments. Assists in the development of campus-wide Data Standards. The Associate Director of Enrollment Systems works closely with all Enrollment Management and Student Success services and, on occasion, with other departments campus-wide.
Characteristic Duties and Responsibilities
- Initiative to gain a deeper understanding of BANNER SaaS SIS and software applications such as Campus Logic, DegreeWorks, CRM communication platforms, etc.
- Provides technical support in the enrollment management processes, systems, and software.
- Creates and develops training and procedural manuals for multiple student enrollment and support systems/software.
- Creates, develops and interprets reports directly from the Banner SaaS Student Information System, Insights platform or Argos software.
- Provides insight on the student record information system; assesses maintenance of student databases that are used by the campus community.
- Ensures the accuracy of data by prioritizing data integrity.
- Works collaboratively with Institutional Research and Planning on student tracking, trend analysis and enrollment forecasts.
- Works with technological resources to develop innovative and data-driving tracking of student progress.
- Defines technical language for college community interpretation.
- Able to write and interpret SQL to develop reports in an accurate and timely manner.
- Assist with the creation, implementation, and enforcement of data standards as it relates to the student information system.
- Serves as a liaison between the Information Technology team and end users on the development and execution of projects.
- Maintains enrollment systems/software optimization and required updates.
- Constantly audits the content of the Enrollment Management websites.
- Assists with the maintenance of the College Catalog technical components and Courseleaf integrations.
- Serves on College Committees as appointed.
- Ensures the integrity and confidentiality of academic records by maintaining compliance with FERPA (Family Education Rights and Privacy Act) and College records and retention policies.
- Aids in the transition to paperless records for the Enrollment Management and Student Success departments.
- Aids in the planning and development of enrollment strategies aligned with the effective use of enrollment systems.
- Annually assess all programs, software applications and practices for continuous improvement.
- Represent the College at community events on-campus, off-campus or virtually.
- Assist as needed with special targeted enrollment efforts, i.e., open houses, registrations, orientations, etc.
- Experience with state and national organizations: i.e., RNL, Ellucian, AACRAO, TACRAO, NASFAA, TASFAA, NACUBO, TCC, TACC etc.
- Performs other duties as assigned.

Required:
- Bachelors degree from a regionally accredited institution of higher education.
- Minimum of 3 years of experience in Enrollment Management operations/Enrollment processes, such as Admissions, Financial Aid, Registration, in a Higher Education setting.
- Valid Drivers License and vehicle insurance.
Preferred:
- Masters degree from a regionally accredited institution of higher education in the field of Computer Information Systems, Management Information Systems, Computer Science, Programming, or related field.
- Knowledge of Federal or State regulations in Higher Education.
- Knowledge/Experience with the Student Enrollment Process in Ellucian Saas Banner Student Information System.
- Knowledge/Experience with higher education systems/software.

- Interpret questions, identify problems, read reference manuals, and identify actionable insights from ambiguous and sometimes limited information to propose solutions and process improvements
- Perform data entry and word processing with speed and accuracy without immediate and constant supervision.
- Knowledge and expertise in student technical support skills, i.e., retrieving reports, correspondence operations, and communication products.
- Ability to multi-task, function under pressure, work independently, accept responsibility with limited supervision, manage multiple tasks to completion, and work with frequent interruptions as part of a team environment.
- Willingness to lead through positive influence and take ownership and accountability for actions and decisions.
- Anticipate needs and create a welcoming, diverse, and inclusive environment.
- Highly skilled in the use of Microsoft Office programs. Knowledge of and/or ability to learn Ellucian Banner administrative computing system, Customer Relationship Management (CRM) system, Centralized Application Service (CAS), and ARGOS reporting system, or other similar systems.
- Knowledge of the enrollment process, ie. admissions applications, admissions criteria, recruitment in a college setting, financial aid, college advising, and registration.
- Knowledge of the college philosophy and the demographics and needs of a typical student body. In addition to, research methods and techniques for conducting statistical analysis to interpret and analyze data and exchange information.
- Knowledge of federal regulations, such as FERPA and Title IV.
- Skilled in interpersonal relationships using tact, patience, and courtesy to maintain effective, collaborative working relationships with internal and external colleagues and constituents.
- Ability to develop and implement innovative enrollment management practices, which are informed by national best practices related to the needs of the community college student.
- Ability to organize complex projects, drive change to deliver results, and develop, carry out, explain, and interpret policy.

Supervision Exercised
Office of Enrollment Management staff.
Supervision Received
Receives direct supervision from the Associate Vice President of Enrollment Management. On occasion, may receive direction from the Vice President of Student Success and Enrollment and/or the College President.
Physical Requirements
While performing the duties of this job, the employee is regularly required to sit. The employee is occasionally required to stand, walk, stoop, kneel, or crouch. The employee must occasionally lift and/or move items weighing up to 50 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Work Environment
Work is performed in a standard office environment. Work inside a well-lighted and air-conditioned area most of the time. The noise level in the work environment is usually quiet to moderate.

Special Conditions
