Job Description

The Associate Director will provide leadership for the 25th Reunion Program at Carleton, which raises ~$500,000+ annually and is the largest class driver in securing unrestricted gifts for the Alumni Annual Fund and achieving college budget goals. This position is part of a successful Development team that collectively raises $40 million annually from alumni, parents, and friends of the College in capital, annual, and planned gifts. The goal for the Milestone Reunions program is to drive engagement and giving around these landmark anniversary reunions.

Under the direction and supervision of the Director of Milestone Reunions, the Associate Director will guide the strategy, volunteer engagement, and planning process for the classes in the 25th reunion window (23rd to 26th years). They will qualify and cultivate donor prospects and manage relationships with volunteers and prospects toward the goal of raising a significant 25th Reunion gift for the Alumni Annual Fund and building a pipeline of major and planned giving prospects. The Associate Director also collaborates with the 50th Reunion program planning efforts and collaborates with fundraising colleagues in other divisional departments. The position provides project direction for administrative and student staff and manages 100+ volunteers at any given time.

Essential Job Functions/Responsibilities

Continually strengthen the 25th Reunion program, focusing on raising philanthropic sights, identifying gift capacity, and cultivating new leadership from a diverse pool of alumni within the 25th cohort. Partner closely with the Milestone Reunions Director to maximize milestone reunion giving and streamline operations between the 25th and 50th Reunion programs.

  • Train, manage, evaluate, and motivate volunteers to achieve their class goals.
    • For classes in their 25th Reunion planning cycle, identify, recruit, qualify, cultivate, and steward a diverse 25th planning committee comprised of 30-50 volunteers. Guide classes in setting and achieving fundraising and engagement goals and develop and provide counsel to volunteer leadership of the 25th Reunion gift and outreach committees.
    • Identify, recruit, cultivate, and steward AAF class volunteers in other classes post 20th reunion through the year following their 25th reunion. Guide class leaders in developing and executing fundraising strategies and setting stretch but attainable fundraising goals to help meet the College’s budgeted dollar alumni and participation goals, working in collaboration and coordination with AAF staff and board members.
  • Establish campaign fundraising strategies and cultivate and solicit prospects:
    • Develop and implement tailored fundraising plans and communications strategies for each class that align and coordinate with overall fundraising priorities, calendars, and objectives.
    • Identify, qualify, and manage a pool of prospects in their 21st through 25th years, with annual goals for visits and giving outcomes.
    • Directly solicit 25th Reunion leadership prospects as appropriate, collaborating with gift committee volunteers or development officers.
  • Develop and lead class outreach and marketing campaigns:
    • With outreach committee volunteers, develop communications strategies and marketing materials to maximize engagement and reunion attendance.
    • Advise and educate volunteers on effective outreach strategies and guide strategies for class-wide and personalized networking, blitz campaigns, and other outreach initiatives.
  • Cultivate and maintain working relationships with alumni leaders in a range of classes that include current and former trustees, major and planned giving prospects, and members serving on alumni leadership boards.
  • Identify ways to increase involvement of donors and donor prospects in the 25th cohort in the activities of the College and provide appropriate stewardship for donors.
  • With gift committee volunteers and development officers, develop and execute strategies for moving donors to higher levels of giving and volunteer engagement.
  • Coordinate activities and events with other pertinent campus offices (primarily the Alumni Annual Fund, Alumni Relations, Development and the President’s Office).
  • Manage the 25th Reunion budget.
  • Other duties as assigned.

Education/Experience/Skills

  • Required: B.A. degree required.
  • Appreciation for and commitment to Carleton’s liberal arts mission.
  • Ability to think creatively, critically, and strategically about all aspects of development at Carleton.

  • Effective and persuasive oral and written communication skills, with the judgment and discretion to handle confidential or sensitive matters.
  • Ability to create and analyze reports to support strategies for donor and dollar goals.
  • Highly organized, achievement oriented and attentive to detail.
  • Ability to manage multiple tasks.
  • Preferred: 5 years previous experience in educational fundraising or comparable experience. Annual Fund and/or reunion gift experience is a plus.
  • Willingness to travel.

Physical Requirements

Some travel, as well as occasional evening and weekend work, is expected.
