Job Description

PURPOSE
The Associate Director is primarily responsible for all aspects of
departmental operations, project management, supervising
professional and para-professional staff and maintains
responsibility for the reservations department. The Associate
Director must be able to function independently and professionally
in the assigned areas of responsibility and will serve as the
acting director in the absence of the director.
The Associate Director advises the Director in all aspects of
departmental operations and project management, and maintains
responsibility for the reservations department. This position will
supervise event staff, graduate assistant(s) and student
employees.
DESCRIPTION
Functional Area 1: Reservations and Information Desk
Percent Effort: 40%
- Provide leadership for the reservation functions of the UC,
including interpretation, application, and enforcement of relevant
policies and procedures.
Provide regular event planning support and training to internal
clients.
Oversee the performance of complex scheduling based on a tiered
reservations system, including prioritizing the needs of clients,
and recommending alternative courses of action when needed;
contribute to and participate in long-range event planning for
high-profile and traditional campus events; demonstrate good
judgment in making decisions and managing reservable spaces.
Communicate with clients to ensure smooth-running, effective
events, including leading the successful resolution of potential
and real problems in a timely manner using tact, sensitivity,
discretion, and political acumen.
Communicate with service partners (health and safety, IT,
custodial, facilities, parking, etc.) and co-workers to coordinate
services and staffing needs for events.
Lead the Event Services Planning Network (ESPN) to coordinate
with and support event planners across campus.
Ensure quality service, programmatic success, participant
safety and facility security, and cleanliness. Respond to and
report any safety and security concerns following established
protocols.
Serve as campus lead for Mazevo, reservation software,
supporting other facility managers utilizing Mazevo and working
with IT on software updates and related needs.
Functional Area 2: Administration
Percent Effort: 40%
- Lead staff team to develop and implement student staff training
for all UC student employees.
- Update and maintain the UC student employee handbook and the
Reservations/Scheduling handbook.
- Provides leadership for department along with and in absence of
the Director.
- Serves on the management team with Director. Represents the
department, division, or University on various committees.
- Participates in developing departmental strategic plans based
on department goals.
- Plans budget for department(s) under their supervision and
assists Director in planning and budgeting (including setting
annual revenue targets) for department.
- Ensure Mazevo/event billing is accurate and completed assisting
coordinators.
- Review and verify accuracy of monthly billing and other
reports; investigate and correct errors.
- Participates in planning, directing, and coordinating
operational or procedural matters to meet department goals and
objectives.
- Develops, implements, coordinates, and evaluates
programs.
- Monitors compliance with all unit, department, University, and
government standards, policies, and procedures.
- Develops reports, analyses, and surveys as requested by
Director.
- Handles special projects assigned by the Director.
- Review and verify the accuracy of reports; investigate and
correct errors.
- Oversee the process of Interviewing, hiring, training, and
evaluating approximately 10 to 16 student employees.
- Clearly define performance expectations, ensure accountability,
and provide ongoing informal feedback, coaching and mentoring along
with and in the absence of the Events Coordinators.
- Serve as a team leader on the UC staff, actively developing and
implementing strategic plans, goal setting, and attainment; serve
as a key player for emergency preparations and evacuations.
- Articulate the UC mission and goals to clients as it relates to
building usage.
- Perform other duties as assigned.
Functional Area 3: Marketing and Public Relations
Percent Effort: 20%
- Cultivate the department's online identity through the
department website and social media accounts; promote the UC as a
department and the resources, services, and activities available in
the UC
- Advise and lead the University Center Programs (UCP) student
employees to develop a strategic calendar of promotional, passive,
and traditional events to create a sense of belonging among
students.
QUALIFICATIONS
- Bachelor's degree.
- Eight (8) years of progressively responsible experience in a
student union/center.
- Additional education may be considered as a substitute for the
minimum experience requirement:
- Master's degree in higher education, communication, leadership,
or related field and six (6) years of progressively responsible
experience in a student union/center.
- Doctoral degree in higher education, communication, leadership,
or related field and four (4) years of progressively responsible
experience in a student union/center.
- Intermediate skills in Microsoft Office Suite.
- Advanced skills as an administrator in Mazevo or EMS (event
management software), and room diagramming software, such as
Prismm, Allseated or Social Tables.
- Capacity to multitask complex assignments in a fast-paced
environment.
- Strong interpersonal, organizational, written, and verbal
communication skills to be able to establish and maintain
courteous, effective working relationships with students, faculty,
and staff.
- Skilled in resolving conflicts and ability to successfully
navigate challenging conversations.
- Experience supervising and training student employees.
- Demonstrated experience providing excellent customer service to
a variety of clients.
- Ability to work a flexible schedule, including some
evenings/weekends scheduled in advance and on short notice.
PREFERRED QUALIFICATIONS
- Master's degree in higher education, communication, leadership,
or related field.
- Experience supervising full-time, professional employees.
- Experience designing and implementing leadership training for
professional staff, student leaders and or student employees.
- Experience coordinating or managing events for a facility that
hosts high visibility, high impact, and high-risk events.
SALARY: up to $65,000/annually, approximately
NOTE: Employment may be impacted by the Presidential
proclamation issued on September 19, 2025 and the moratorium issued
by Texas Governor Abbott on January 27, 2026.
