Associate Registrar (Graduation and Degree Audit)

SUMMARY

This is a supervisory position responsible for leading the degree audit, graduation, advising support, and diploma services functions in the Office of the Registrar. Works in close collaboration with academic colleges, departments, faculty, advisors, and administrative areas across campus to ensure accurate and timely services. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Reports to the Registrar.

QUALIFICATIONS

Bachelor’s degree is required. Master’s degree is preferred.

Three years of related experience is required. Supervisory experience is required. Experience in a registrar’s office or related area is preferred. Experience with the student module in Banner ERP system and/or Degree Works is preferred.

ESSENTIAL JOB FUNCTIONS

  1. Applies student records, curriculum, and technical knowledge to uphold university policies, encode degree requirements into the degree audit system, problem solve, and facilitate discussions between academic departments, advisors, and other campus areas.
  2. Provides effective customer service to students, faculty, advisors, staff, alumni, and outside constituents.
  3. Ensures continuous process improvement, integrity, documentation, and compliance standards are met related to degree audit, curriculum encoding, and exception processing.
  4. Supports the student experience by leveraging data and analytics to provide data-driven recommendations and solutions.
  5. Manages and leads staff that test and maintain the student module of the campus ERP system, degree audit modules related to the degree audit system, student educational planner (SEP), and other related systems and functions.
  6. Oversees graduation processing, including graduation applications, degree clearance and certification, commencement, and diploma production and distribution.
  7. Verifies students have met graduation requirements and are making positive progress to degree. Assists advisors, faculty, and students with the interpretation of degree audit results.
  8. Develops and implements training programs and communication plans to advisors, students, academic colleges and departments, and other campus areas to support the implementation and maintenance of the degree audit system.
  9. Develops reports and correspondence with advisors, faculty, and students related to student academic progress and completion.
  10. Creates, implements, and maintains procedures for areas of responsibility.
  11. Ensures compliance with the Family Educational Rights and Privacy Act (FERPA) and all other applicable laws and regulations.
  12. Stays informed of best practices related to areas of responsibility.

NON-ESSENTIAL JOB FUNCTIONS

  1. Assists with commencement ceremonies.
  2. Participates in professional development activities.
  3. May serve on committees and teams as requested.
  4. Assists other positions within the Office of the Registrar as needed.
  5. Performs other related duties as assigned.

  7. Ability to exercise sound judgment in making critical decisions and problem-solving a variety of situations.
  8. Ability to handle difficult and stressful situations with professional composure.
  9. Ability to explain policies and procedures to faculty and staff.
  10. Ability to maintain effective interpersonal relationships.
  11. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
  12. Ability to work with and maintain confidential information.
  13. Ability to learn office and university-specific software.
  14. Ability to train and supervise others.
  15. Ability to maintain currency of knowledge, including changes in rules and regulations related to the areas of responsibility.
