The Benefits Coordinator plays a vital role in supporting the institution's overall workforce by overseeing the administration of employee benefits programs, initial payroll processing, and driving campus-wide wellness and engagement initiatives. Serving as a primary point of contact for staff and faculty, this position ensures clear communication, accurate benefit enrollment, precise payroll data entry, and a positive employee experience across the institution.
Examples of Duties
- Serve as the first line of contact for faculty and staff regarding health, dental, vision, life, disability, and retirement benefit inquiries.
- Conduct open enrollment periods, new hire orientations, and benefit informational sessions to educate employees on available options and coverage details.
- Manage liaison operations between the institution, third-party benefit administrators, insurance carriers, and state retirement systems.
- Reconcile monthly benefit billing statements and audit coverage reports for accuracy and compliance.
- Perform initial data entry for payroll processing, including standard wage setups, and benefit deductions.
- Maintain complete and accurate employee records within Colleague.
- Collaborate with the Payroll Technician to resolve wage or deduction discrepancies in a timely manner.
- Plan, coordinate, and host regular employee wellness programming, including fitness challenges, and educational workshops.
- Organize monthly or bi-monthly "Lunch & Learn" educational sessions.
- Gather feedback through post-event surveys to continuously evaluate and improve wellness and lunch and learn offerings.
- Reconciles all monthly benefit invoices to reflect current census data and payroll allocations.
- Prepares annual wage memos and contracts for faculty, administrators and full-time and part-time hourly employees. Enters new wage rates into Ellucian Colleague system.
- Ensures all new hire, transfer and separation benefit paperwork is complete. Follows up with Director of Talent Acquisition and/or Associate VP of HR as needed to ensure accuracy and timeliness of compensation/benefit issues.
- Oversees and maintains employee personnel files, which may include training and overseeing student-workers in the tasks of updating personnel files.
- Cross-train within the department to learn aspects of other functions of the department and assist in other functions as needed; provide coverage when other team members are not available.
- Assists in developing HR statistical analysis on various compensation and benefit initiatives. Prepares additional departmental statistical documents and reports as requested/required.
- Completes employment verifications and PSLF requests as needed.
- Provides input into the development and implementation of departmental objectives, policies, procedures and standards; recommends changes to departmental procedures as necessary to improve the efficiency of the institution's Human Resources goals and initiatives.
- Supports and serves as a role model for our mission, vision, values, and customer service initiatives. Adheres to the organization's policies & procedures, and compliance guidelines. Ensures compliance with all federal and state regulations regarding any function of Human Resources.
- Per the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), a federal consumer protection law, your job position entails functions that meet the definition of a Campus Security Authority (CSA). CSAs have a duty to report any crime to the College's Clery Compliance Officer. This information may be disclosed to them directly, through third-party, or witnessed. As a CSA, you are required to complete annual training which is provided by the College. This training encompasses your role, responsibilities, and reporting obligations
- Performs other duties as assigned.
Typical Qualifications
- Associate Degree in Human Resources, Business Administration, Healthcare Administration, or a related field required. Bachelor's degree preferred.
- Two (2) to Four (4) years of related experience, preferably in a college environment, required.
- Previous Human Resources experience preferred.
