Job Description
Business Career Center Senior Operations Specialist:
What you will do:
Budget & Procurement
- Set criteria for vendor license renewals and process annual renewal invoices.
- Partner with the BCC Director and Assistant Director to develop and manage the career fair budget for biannual events.
- Research, evaluate, and recommend new vendors that offer high-quality and cost-effective services.
- Build and maintain strong, productive vendor relationships.
Operations Oversight
- Partner with the BCC Director and Assistant Director to shape new strategies and priorities for the BCC.
- Collaborate on new programming and initiatives, including identifying local and national employers for internships, job placement, and student engagement activities.
- Produce quarterly and annual reports summarizing BCC outcomes, placement data, accreditation metrics, and other key performance information.
- Serve as the department liaison to students, faculty, staff, employers, and community organizations for BCC programs and events.
- Manage the BCC employer database and related data sources that support Business School students and events (Career Fairs, Employer Spotlights, Panels, and Career & Professional Development courses).
- Conduct market research by designing and administering Employment and First Destination Surveys, monitoring response rates, analyzing results, and presenting findings to BCC leadership and stakeholders.
- Advise employers on BCC processes, services, and opportunities to engage with Business School talent.
- Lead and manage the interface between students and employers; collaborate with the BCC Director to provide high-level relationship management, assist with job postings, navigate CU systems, and ensure employer satisfaction.
- Contribute to marketing strategies and collateral that promote BCC services, events, and opportunities to employers, organizations, faculty, and students.
- Supervise one or more Graduate or Undergraduate Student Assistants, including recruiting, interviewing, training, scheduling, assigning tasks, monitoring performance, and providing coaching.
- Serve as system administrator for Handshake, Canvas, Coursera, CVENT, Big Interview, and CareerLeader; coordinate with campus partners and vendors to build student lists, track usage, and recommend licensing levels.
- Lead special projects assigned by the Director and Assistant Director, including process improvements, technology adoption initiatives, and strategies to enhance student engagement and retention.
Event Management
- Manage and execute BCC student events in collaboration with the Director and Assistant Director, including budgets, logistics, marketing, catering, AV, speaker coordination, and pre-/post-event metrics.
- Facilitate student programs such as workshops, industry treks, and Career & Professional Development classes.
- Organize strategic employer visits and presentations for students, including scheduling, room setup, marketing, registration tracking, catering, delivery, and follow-up with both students and employer partners.
- Represent the Business Career Center at internal meetings and external events, including student organizations, community groups, nonprofit events, and fundraising activities.
Qualifications you already possess (Minimum Qualifications)
Applicants must meet minimum qualifications at the time of hire.
- A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
- Two (2) years of experience in office operations including budgets, procurement and events.
Preferred Qualification to possess (Preferred Qualifications)
- Three (3) years of experience in office operations including budgets, procurement and events.
- Experience in a higher education setting or non-profit.
- Experience working with external stakeholders.
Knowledge, Skills, and Abilities
- Professional background with the ability to collaborate and coordinate with both internal and external stakeholders in a small-team, high-activity environment.
- Excellent event planning skills, with attendee survey experience; corporate event planning experience is optimal.
- Strong communication skills at all levels within the organization.
- Relies on experience and judgment to plan and establish goals.
- Works independently, well-organized, and self-confident; excellent follow-up skills, self-starter.
- Proficient with database development and management; reporting skills for analysis and accreditation.
- Excellent MS office skills (Outlook, Word, Excel, PowerPoint, Publisher).
- Ability to manage direct reports and train students on systems, processes, and procedures; act as a role model for professional behavior.
Conditions of Employment
This position follows a hybrid work structure where employees work in the office 3 days a week.
