Position Description

James Cook University (JCU) is creating a brighter future for life in the Tropics and beyond, through education and research that makes a difference locally and globally.

Make a visible difference across JCU by leading improvement initiatives from problem identification through to implementation and benefits realisation. Working primarily from our Townsville campus, you will collaborate with operational teams and leaders to simplify processes, improve services and embed better ways of working, including opportunities supported by automation, AI and digital tools.

  • Full-time, continuing opportunity | 36.25 hours per week
  • Based on-site at the Townsville Bebegu Yumba campus, Douglas
  • HEWL 8: $111,960 - $128,567 per annum plus up to 17% superannuation

ABOUT THE ROLE

As Business Improvement Officer, you will help drive meaningful improvements across JCU by partnering with teams to identify opportunities, solve operational challenges and improve the way work gets done.

Working across a diverse range of services, you will lead improvement initiatives from opportunity identification through to implementation, benefits realisation and transition into business-as-usual operations.

Success in this role comes from working alongside operational teams to understand how services are delivered, identify practical opportunities for improvement and support the implementation of sustainable solutions that deliver measurable outcomes.

This is a hands-on improvement role focused on achieving results, not simply analysing problems. You will help build capability, support change and embed new ways of working that improve service delivery, efficiency and customer experience.

Based on-site at JCU's Bebegu Yumba campus in Townsville, this is a visible, relationship-focused role that suits someone who enjoys being in the business, building connections and working directly with people to make a tangible difference.

WHAT YOU WILL BRING TO THE ROLE

A passion for improving services, solving problems and helping people achieve better outcomes. This role will suit an experienced continuous improvement practitioner who enjoys working directly with operational teams and turning improvement opportunities into practical, sustainable results.

Experience leading improvement initiatives from opportunity identification through to implementation and benefits realisation will be highly regarded. Success in the role requires a practical, delivery-focused approach and the ability to engage stakeholders, build momentum and maintain focus on outcomes.

Strong relationship-building, facilitation and problem-solving skills will enable you to collaborate effectively with leaders, subject matter experts and frontline teams. Experience applying approaches such as Lean, process mapping, root cause analysis and benefits measurement will support your ability to translate complexity into achievable actions and measurable improvements.

Motivation comes from seeing change successfully implemented, adopted and sustained. A collaborative approach, resilience and an ability to influence through credibility and trust will be key to helping teams embrace new ways of working and deliver lasting benefits.

An interest in AI, automation, workflow technologies and other digital solutions will be valuable. While technical expertise is not essential, the ability to recognise opportunities and partner with specialists to deliver practical business outcomes will support success in the role.

Business Improvement Officer Role at James Cook University: What to Know Before You Apply

What the role usually involves

James Cook University Careers posted on AcademicJobs

James Cook University is hiring a Business Improvement Officer in Townsville, and the title understates the actual job. You won't be writing academic papers. You'll be fixing the processes that keep a large, multi-campus university running.

The vacancy is live on JCU's careers portal and cross-listed on AcademicJobs. If you're scanning professional staff jobs in Australian universities, stop here long enough to read the full position description. That document, not the ad summary, tells you which processes you'd own and who you'd report to.

Business improvement roles sit inside the professional staff engine room. Student services, finance, HR, facilities, the library, the research office: each runs on workflows that were designed at different times by different teams. A Business Improvement Officer maps those workflows, finds where the waits and rework are, and works with the people in the team to redesign them.

That matters at JCU because the university is one of the largest employers in northern Queensland. When a process breaks in a regional institution, the cost is human and immediate: someone re-enters data for half a morning, a student waits weeks for an answer, a competent staff member gets frustrated and leaves, and the university quietly loses capacity. The job is to find those failures before they become structural.

What the role usually involves

In most Australian universities, a Business Improvement Officer is different from a project manager. A project manager delivers a defined initiative and closes it. A business improvement person stays with the process after the first change, checks whether the gain held, and looks for the next constraint.

You can expect four types of work. Process mapping: sitting with staff to document how work actually moves, not how a policy says it should. Data analysis: pulling reports on cycle times, error rates, enquiry volumes, or transaction costs to find the bottleneck. Facilitation: running workshops where the people who do the work can challenge the current design without blame. Implementation: helping a team pilot a new workflow, measuring the result, and adjusting it. None of these are optional.

Some universities use Lean Six Sigma as the common language. Lean is about removing waste from a process, and Six Sigma is about reducing errors and variation. You don't need a black belt for every role, but you do need to show you can use structured improvement methods rather than just suggesting things in meetings.

How to read the JCU listing like a hiring manager would

Open the full position description on the James Cook University careers site and read the selection criteria twice. The first read is to see the job. The second read is to see what evidence you'd need to provide. Look for verbs such as 'lead', 'facilitate', 'analyse', 'influence' and 'document'. Those verbs tell you the level of autonomy.

The classification matters. University professional staff roles in Australia are often set against the Higher Education Worker (HEW) scale, which runs from routine support work to senior management. A higher HEW level generally means you're expected to own outcomes, not just complete tasks. If the salary isn't in the ad, check whether the PD references an enterprise agreement and what the classification band is.

You can also view the same vacancy on AcademicJobs, which keeps the listing in one place while JCU's page handles the application itself.

What Townsville changes about your application

Townsville is not a capital city, and that changes the talent pool. JCU's Townsville campus is a major part of the local economy, and the university draws staff from across North Queensland, interstate, and overseas. If you're applying from outside the region, show that you've thought about how you'd build working relationships in a smaller and more connected professional community.

Don't waste your cover letter on climate or lifestyle. The panel already knows why people move to North Queensland. Instead, point to experience where you improved a process across different sites, managed change with people who were not in the same building, or had to influence without direct authority. That's the reality of working across a multi-campus university.

Make your application concrete

Most business improvement applications fail because they list duties instead of showing outcomes. 'I was responsible for process mapping' tells a panel nothing. 'I mapped the student appeals process and reduced the average resolution time from 21 days to 11 days' tells them what you actually changed.

Use a simple structure for each example: what was happening before, what you did, what happened after, and how you measured it. If you don't have a number, say what changed for the people involved. The panel can spot a polished phrase from a distance.

If you're new to process improvement language, read the plain-language summaries from the American Society for Quality before you write your examples. It won't replace experience, but it will stop you from using terms loosely in an interview.

Questions worth asking before you commit

A good Business Improvement Officer should treat their own hiring process the way they'd treat a project: clarify the problem before agreeing to fix it. Ask these questions when you get the chance:

  • Which process areas are the current pain points, and what has the university already tried?
  • Who sponsors the role, and what authority does the position have to challenge an existing workflow?
  • What data is available now, and which systems does the improvement work need to pull from?
  • What would a successful first twelve months look like in measurable terms?

The answers will tell you more than the position description can.

What happens after you apply

After you submit through JCU's portal, read the acknowledgement carefully. Some university recruitment processes include a screening questionnaire, others rely on the selection panel. If a contact is listed on the PD, use it only for genuine questions that aren't answered in the documents.

Don't wait passively. While you wait, prepare one-page summaries of the two or three improvements you're most proud of. If you get a phone screen, those summaries will keep you concrete. If you don't, they'll be ready for the next application.

This week, open the position description and highlight every reference to process, data, stakeholders and outcomes. Next to each one, write one sentence from your own history that matches it. That exercise will either strengthen your application or show you the skills you still need to build.

Frequently Asked Questions

📋What does a Business Improvement Officer do at a university?

A Business Improvement Officer works in the professional staff side of the university, not in teaching or research. The role maps existing processes, finds delays and rework, runs workshops with the people doing the work, and helps teams pilot improved workflows. At James Cook University the work typically spans areas such as student services, finance, HR, faculties or central administration.

📍Is the James Cook University Business Improvement Officer position based in Townsville or Cairns?

The advertised role is listed as a Townsville, Queensland position. You can confirm the campus and any travel expectations in the full position description on the JCU careers site.

🎓What qualifications do I need for a Business Improvement Officer role?

Most Australian universities look for a degree in a relevant field such as business, management, information systems or service design, plus practical experience in process improvement. Certifications in Lean, Six Sigma or business process management can strengthen an application, but evidence of delivered improvements usually matters more than the certificate itself.

🔍What process improvement methods do Australian universities use?

Lean and Six Sigma are common, often combined as Lean Six Sigma. Lean focuses on removing waste from a process, while Six Sigma focuses on reducing errors and variation. Other universities use business process management, human-centred design, or service design tools. The JCU position description will signal which method the panel expects you to understand.

🧭How is a Business Improvement Officer different from a project manager?

A project manager delivers a defined initiative and then closes it. A Business Improvement Officer works with an existing process after the change, measures whether the improvement held, and looks for the next constraint. The improvement role is closer to ongoing process ownership than to one-off project delivery.

💼Where can I find the full JCU Business Improvement Officer job listing?

You can read the full position description and apply through the James Cook University careers portal. The vacancy is also listed on AcademicJobs.

🏛️Do I need to have worked in higher education before applying?

Not always. Many universities value process improvement experience from government, health, financial services and other complex organisations. The key is showing you can work with dispersed stakeholders, shared governance and detailed compliance requirements. The selection criteria will say whether higher education experience is essential or simply desirable.

📝What should a strong application include?

Use concrete examples rather than duty statements. For each key selection criterion, show what was happening before, what you did, what changed, and how you measured it. A cover letter should focus on the process improvements you have delivered and the stakeholders you brought with you.

💰What classification and salary should I expect for this role?

Australian university professional staff roles are usually classified under the Higher Education Worker (HEW) scale. The level for this Business Improvement Officer position will be stated in the position description, and the salary will sit within JCU's enterprise agreement. Read the PD first and, if the salary band is not published, ask the contact named in the listing for the HEW level.

❓What questions should I ask during the interview?

Ask which process areas are the current pain points and what the university has already tried. Ask who sponsors the role and what authority it has to challenge an existing workflow. Ask what data is available now and what a successful first twelve months would look like in measurable terms.

🏡Does James Cook University offer flexible work for professional staff?

JCU has flexible working arrangements for many professional staff roles, but the specific options depend on the position, the team and the current policy. Ask about hybrid or flexible arrangements only after you have confirmed the core requirements of the role, and frame it as part of understanding how the work gets done.

✅What should I do immediately after submitting my application?

Read the acknowledgement email carefully and note the timeline. Then prepare one-page summaries of the two or three improvements you are most proud of, tied to the role's likely areas. If you get a phone screen, those summaries will keep you concrete and save the panel from vague answers.
