Business Services Professional – (Open Rank: Intermediate to Senior)
Job Summary
Position Summary: The Business Services Professional will play a crucial role in supporting the administrative and operational functions of the Department of Physiology and Biophysics. This position will encompass responsibilities as a Chair Operations Assistant and Department Operations Specialist. The ideal candidate will be highly motivated, detail-oriented, and capable of managing multiple tasks efficiently.
Key Responsibilities:
Chair Operations Assistant (60%):
- General Support: Provide administrative support to the Department Chair, including managing schedules, coordinating meetings, screening and prioritizing email communications and correspondences, ensuring prompt and appropriate responses
- Document Management: Organize and maintain files, records, and documentation to ensure easy accessibility and retrieval.
- Data Entry: Accurately input and update information into databases, spreadsheets, and other systems as required.
- Correspondence: Draft and proofread business correspondence, reports, and presentations to maintain a professional and polished image.
- Travel Arrangements: Coordinate travel plans and accommodations for the Chair.
- Coordinate Travel: for Chair related instances such as lab staff recruitment.
Department Operations Specialist (40%):
- Provide administrative support to the Department's faculty, including managing schedules and coordinating meetings.
- Coordinate travel plans and accommodations for the Department's faculty and for Department Faculty related instances such as lab staff recruitment or visiting collaborators.
- Order and manage office supplies and equipment, ensuring adequate inventory levels.
- Ensure the office environment is clean, organized, and conducive to productivity.
- Handle general incoming and outgoing correspondence, including emails and phone calls for the department administration.
- Maintain and organize office files, records, and documentation for the department administration.
- Manage the conference room reservation system for the department's conference rooms.
- Manage the coffee machine operations in the break room, including ordering supplies and scheduling maintenance and repairs.
Work Location
Onsite – this role is expected to work onsite and is located in Aurora, CO.
Qualifications
Minimum Qualifications
Intermediate level: A bachelor's degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a related field from an accredited institution. 1 year of professional level experience.
Senior level: A bachelor's degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a related field from an accredited institution. 2 years of professional level experience. A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year-for-year basis.
Preferred Qualifications
- Master's degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a related field from an accredited institution.
- Previous experience with administrative and/or faculty program support in an academic or medical setting.
Competencies
- Strong organizational skills, with the ability to manage multiple tasks and deadlines.
- Professional demeanor with the ability to handle sensitive and confidential information.
- Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint, Outlook) and other office technologies.
- Ability to communicate effectively, both in writing and orally.
- Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
- Outstanding customer service skills.
