Job Description

PURPOSE
The Case Manager is responsible for providing holistic case
management services reporting through Care & Assistance in the
Dean of Students Office and working closely within the Care &
Assistance and University Housing Teams to address and coordinate
the needs of students who experience health, psychological,
economic, family relationship, housing, and/or social
adjustment-related concerns. The Case Manager utilizes proactive
outreach, referrals, follow‑up, and collaboration with campus and
community partners to reduce barriers to student success. This
position provides consultation to faculty, staff, academic
departments, and parents, when appropriate, to minimize academic
disruption and support student well-being.
DESCRIPTION
Functional Area 1: Case Management
Percent Effort: 40%
- Provides comprehensive case management services to students
experiencing personal, academic, financial, housing, or
wellness-related concerns.
- Addresses basic needs issues and coordinates wraparound
services for all students, with attention to housing and food
insecurity, financial challenges, and academic support needs.
- Contacts, schedules and meets with students to address concerns
regarding university procedures, appeals and relevant policy.
- Conducts needs assessments and develops action plans in
collaboration with students.
- Maintains confidential student records in accordance with
FERPA, institutional policies, and ethical standards.
- Completes documentation and maintain record keeping of Care
& Assistance cases using the designated case management
system.
- Manages and makes appropriate referrals to campus departments
and community‑based resources.
- Coordinates and follows up with students via email, virtual
meetings, and in person meetings regarding referrals and progress
on action plans.
- Monitors student engagement with referred resources and adjusts
support strategies as needed.
- Documents progress, outcomes, case resolution, and closes cases
within prescribed timeframes.
- Provides ongoing support to students throughout the referral
and follow-up process.
- Assists in collecting and analyzing data related to case
management services, housing-related concerns, referrals, and
student outcomes to inform program improvements and support
retention initiatives.
- Assists students with extenuating circumstances in
communicating with faculty and exploring academic options.
- Serves as a parent liaison to connect pregnant and parenting
students to available on and off campus resources.
Functional Area 2: Housing & Residential
Collaboration
Percent Effort: 40%
- Serves as a liaison between University Housing and the Dean of
Students Office to support students residing on campus who are
experiencing academic, personal, behavioral, or basic needs
concerns.
- Provides crisis response, support, and coordination for
students experiencing acute personal, behavioral, mental health, or
housing-related challenges.
- Collaborates with Housing Leadership team and Resident Living
Coordinators (RLCs) to coordinate care, consult on student
situations, and support intervention planning within the
residential environment, in accordance with FERPA and institutional
policies.
- Provides training and consultation for Resident Advisors (RAs)
on identifying students in distress, Care & Assistance referral
processes, and available campus resources.
- Assists with new student orientation, housing move‑in, and
other major residential transition periods by providing outreach,
support, and coordination.
- Conducts targeted outreach to students living on campus to
increase awareness of Care & Assistance services, basic needs
resources, and support pathways.
- Participates in housing‑related meetings, care consultations,
and coordinated response efforts related to student welfare, crisis
response, and residential student retention.
- Assists students who may face eviction, off-campus housing
instability, temporary housing needs, emergency housing placement,
etc.
Functional Area 3: Outreach
Percent Effort: 20%
- Provides outreach and education to the campus community
regarding Care & Assistance services, student support
resources, and referral processes.
- Supports faculty and staff when distressed students are
identified, and consultation or intervention assistance is
needed.
- Facilitates training and presentations for students, staff, and
faculty on topics related to student distress, care coordination,
and available resources.
- Participates in outreach, tabling, and engagement events
representing the Care & Assistance Team, Dean of Students
Office, and Student Engagement & Success Division.
QUALIFICATIONS
- Bachelor's degree in Counseling, Psychology, Social Work, or a
closely related field.
- Five (5) years of related professional experience in case
management, student support services, social services, behavioral
intervention, housing support, counseling, or a closely related
area.
- Additional education and/or experience may be considered as a
substitution for the minimum requirements.
- High School Diploma/GED and nine (9) years of related
professional experience in case management, student support
services, social services, behavioral intervention, housing
support, counseling, or a closely related area.
- Associates degree and seven (7) years of related professional
experience in case management, student support services, social
services, behavioral intervention, housing support, counseling, or
a closely related area.
- Master's degree and three (3) years of related professional
experience in case management, student support services, social
services, behavioral intervention, housing support, counseling, or
a closely related area.
- Doctoral degree and one (1) year of related professional
experience in case management, student support services, social
services, behavioral intervention, housing support, counseling, or
a closely related area.
- Experience in crisis management and student support.
- Experience facilitating training and/or presentations for
students, staff, or faculty.
- Intermediate computer skills in Microsoft Word, Excel,
PowerPoint, and Outlook; ability to use proprietary and web-based
applications.
- Excellent interpersonal, verbal, and written communication
skills.
- Ability to manage complex and sensitive situations involving
students.
- Strong attention to detail.
- Knowledge and experience working with mental and physical
health providers, community agencies, and campus partners.
- Ability to work collaboratively within a multidisciplinary team
environment.
- Ability to develop, maintain, and manage case files, referral
resources, and community service databases.
- Ability to maintain confidentiality in accordance with
applicable laws, policies, and procedures.
PREFERRED QUALIFICATIONS
- Master's degree in Counseling, Psychology, Social Work, Student
Affairs/Higher Education Administration, or a closely related
field.
- Five (5) or more years of experience working in a college or
university setting in case management or student support
services.
- Experience using an electronic case management system or
student conduct/care database (e.g., Maxient, Symplicity).
- Experience working with students experiencing housing
insecurity, food insecurity, financial hardship, or other basic
needs concerns.
SALARY: up to $50,000/annually, approximately
NOTE: Employment may be impacted by the Presidential
proclamation issued on September 19, 2025 and the moratorium issued
by Texas Governor Abbott on January 27, 2026.
