Clinic Data Coordinator
Job Summary
The Data Coordinator plays a critical role in supporting the Indiana University (IU) Genetic Testing Laboratories (IUGTL) by ensuring accurate, timely, and compliant handling of patient and laboratory data. This role is similar in scope to a genetic counseling assistant, with a focus on coordinating clinical and laboratory information to support genetic testing workflows.
Department-Specific Responsibilities
- Serves as a central point of coordination for specimen accessioning, data management, reporting workflows, and communication with clinicians and clients.
- Helps maintain the integrity of laboratory operations while supporting regulatory readiness and high-quality genetic testing that informs diagnosis, treatment, and counseling for patients across Indiana.
- Performs sample accessioning, including patient registration and specimen labeling.
- Retrieves patient records from Cerner as needed.
- Scans patient records and laboratory forms into laboratory information systems.
- Maintains patient charts, including labeling, filing, archiving, and printing final reports.
- Builds and maintains reporting standards and templates.
- Pulls statistics or retrieve results as requested by laboratory leadership.
- Participates in College of American Pathologists (CAP) inspection preparation and compliance activities.
- Provides backup support to other administrative staff as needed.
- Assigns cases to laboratory directors for review and sign-out.
- Sends results securely to outside clients in accordance with privacy regulations.
- Troubleshoots problematic or incomplete orders by coordinating with providers, clients, and laboratory staff to ensure accurate test processing.
General Responsibilities
- Extracts medical data from source documents and completes electronic case report forms.
- Responds to and resolves queries in a timely fashion.
- Contacts outside healthcare providers to obtain subject records and information.
- Audits and reviews medical data to ensure accuracy and quality.
- Assists team with creation of source document tools.
- Assists with document preparation for audits.
- Creates and maintains regulatory documents.
- Assists in establishing schedules and assigning work for employees in the medical records area.
