Clinical Education Coordinator
Job Summary
The Clinical Education Coordinator provides operational and administrative support for undergraduate medical education programs within the Department of Surgery. This position plays a key role in coordinating clerkship and student education activities, supporting faculty and learners, managing operational workflows, and ensuring smooth day-to-day program execution.
Department-Specific Responsibilities
- Works collaboratively with educational leadership, faculty, staff, residents, and medical students to support a high-quality learner experience within a fast-paced academic medical environment.
- Independently manages assigned responsibilities, demonstrate initiative, and contribute to ongoing process improvement efforts.
- Coordinates day-to-day operations for the Surgery Clerkship and additional undergraduate medical education initiatives.
- Manages student scheduling, placements, rotation logistics, onboarding, orientation, and communication.
- Coordinates student experiences across multiple learning environments and stakeholders.
- Supports clinical learning experiences across multiple sites and educational settings.
- Maintains accurate student records, schedules, evaluations, and program documentation.
- Assists in monitoring student performance data, evaluations, and program tracking activities.
- Coordinates educational events, orientation activities, didactic sessions, and student programming.
- Helps troubleshoot and resolve scheduling, operational, and learner-related issues.
- Serves as a liaison between faculty, students, residents, regional partners, and institutional offices.
- Coordinates communication and operational workflows with clerkship leadership and teaching faculty.
- Supports recruitment, onboarding, and engagement efforts related to educational initiatives.
- Builds and maintains positive working relationships across teams and stakeholders.
- Assists faculty and learners with educational processes, systems, and workflow-related questions.
- Independently manages assigned operational processes and timelines.
- Coordinates and maintains workflows related to evaluations, scheduling, compliance, and educational activities.
- Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility.
- Assists with educational systems and platforms such as MedHub, Canvas, and related technologies.
- Develops and maintains organizational systems, templates, workflow documentation, and tracking tools.
- Identifies opportunities to improve workflow efficiency, operational consistency, and communication processes.
- Participates in process improvement and operational planning efforts.
- Collaborates closely with the medical education team to support evolving departmental priorities.
- Demonstrates flexibility during periods of high volume and changing priorities.
- Supports special projects and additional educational initiatives as assigned.
- Contributes to a positive, collaborative, and service-oriented team environment.
General Responsibilities
- Provides administrative support to the department, such as managing calendars, answering phone calls, creating routine and confidential correspondence, drafting reports and presentations, and arranging meetings and conferences.
- Schedules rotations and clinic hours for members. May arrange extracurricular activities.
- Counsels current and incoming residents on administrative issues such as scheduling, rotation requirements, benefits, and leave.
- Coordinates activities related to recruitment, including events, screening, interviewing, reference checks, and orientation for candidates.
- Maintains ongoing documentation with respect to accuracy, confidentiality, and accessibility.
- Implements program improvement projects from initiation to execution.
- Offers recommendations to improve program administration and/or the overall quality of care.
- Participates in the planning and development of academic and clinical requirements to ensure that all accreditation standards are maintained.
