Job Description:
This position is based in Tallahassee, Florida. Provides front-line administrative and operational support for the Child Protection Team (CPT), a specialized multidisciplinary program serving children and families referred for concerns of abuse and neglect. Serves as a primary point of contact for patients, families, clinical staff, and community partners, including the Department of Children and families (DCF), FBI, law enforcement, therapists, psychologists, and community-based care agencies. Coordinates check-in/check-out process and assists with securing patient information for medical providers and Case Coordinators. Provides administrative support for clinical staff. Works with integrated patient-centered team to provide patient care and perform administrative duties in a friendly and helpful manner.
Point of Service Operations – Serves as a first-line liaison for internal and external customers, including clients, staff, and others. Greets patients and families; coordinates check-in/check-out; obtains and verifies demographic, referral, consent, confidentiality, and other required information; explains signature requirements; and facilities the flow of patients through CPT services.
Telephone, Referral and Communication Coordination - Receives, screens, documents, and appropriately routes telephone calls, referrals, messages, and requests from patients, families, DCF, law enforcement, community-based care agencies, health care providers, and other community partners. Recognizes urgent or sensitive matters and promptly escalates them to the appropriate clinical, case coordination, or management staff in accordance with established procedures.
Abuse Report and Program Data Processing - Retrieves and processes daily abuse and neglect reports from the Florida Abuse Hotline and prepares them for medical and social review. Enters mandatory reports into applicable state and program systems, including the DOH data system, FSFN/CCWIS; in accordance with Dept. of Health contractual standards. Ensures information is accurately entered, appropriately maintained, and available to support timely case review and service delivery.
Clinical and Program Administrative Support - Provides administrative support to providers and management staff and assists with coordination of services. Problem solves issues with registration, schedules, subpoenas and court orders, etc.
General Administrative Support - Performs routine administrative duties, including filing, document management, receiving and distributing mail, maintaining supplies, operating office equipment, and other activities necessary to support program operations.
Therapy and Patient Service Support – Provides administrative and scheduling support for patients and families receiving therapy and other CPT services.
Expected Salary:
$17.72 to $21.89 hourly depending on education and experience
Preferred:
Two to four years clerical/customer service experience preferred, ideally in health care, child welfare, social services, or related industry serving the pediatric population. One year of computer experience for inputting data and reviewing patient demographic material preferred.
