Communications Specialist II
Job Description
The Communications Specialist II, under general supervision, writes, edits, designs, and assists in the production of newsletters, website content, and other informational materials to support the Procurement and Disbursement (PDSV) department. This position is responsible for developing and maintaining communications related to the e-procurement, expense management and other departmental platforms and activities, ensuring faculty, staff, and suppliers receive clear, timely guidance on all processes. The Communications Specialist II will also manage the PDSV website to maintain and bring it into compliance with state accessibility standards and improve usability for the campus community.
This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.
Responsibilities
- Writes, edits, designs, and produces departmental newsletters, announcements, training materials, presentations and reports.
- Proofs, edits, and updates content on the PDSV website and ensures compliance with state accessibility and content standards.
- Develops and manages communications related to the e-procurement, expense management and other departmental platforms and activities, including system announcements, user updates, training guides, FAQs, and other instructional materials.
- Implements and maintains a communications plan for PDSV, ensuring messages are accurate, grammatically correct, consistent, and aligned with institutional goals.
- Collaboration as needed with the central marketing and communications office on university-wide initiatives, committees, and projects. This includes contributing expertise, aligning messaging when appropriate, and supporting institutional goals through coordinated efforts.
- Maintains a tracking system for project timelines, deliverables, and costs.
- Assists in planning, implementing, and promoting departmental workshops, trainings, and special events.
- Partners with the Community/Partnership Office to support HUB program initiatives and facilitate connections with alumni and corporate stakeholders.
- Prepares presentations, displays, and other visual communication tools to support departmental initiatives.
- Performs other duties as assigned.
Required Education and Experience
- Bachelor's degree.
- Two years of related communications experience.
Required Knowledge, Skills, and Abilities
- Knowledge of word processing and spreadsheet applications.
- Knowledge of project management practices.
- Ability to multitask and work cooperatively with others.
- Strong verbal and written communication skills.
- Strong interpersonal and organizational skills.
- Ability to present information clearly and concisely.
Preferred Qualifications
- Three years of related communications experience.
- Experience developing and implementing departmental communications plans.
- Experience supporting communications for business systems or technology platforms (e.g., PantherBuy, Emburse Expense, or similar).
- Knowledge of web accessibility standards and compliance requirements.
- Knowledge of WordPress or other website content management systems.
