Job Summary

Job Description

Typical duties may include but are not limited to:

  • Processes scholarships as directed by the BSM Director and/or Assistant Director, coordinating with students, Financial Aid, and the FGCU Foundation to ensure accurate and timely awards.
  • Monitors and manages program expenses, budgets, and financial operations across Foundation, E&G, and auxiliary funding sources.
  • Oversees budget-related activities including accounts payable, accounts receivable, reconciliations, and financial reporting.
  • Collaborates with department administrators on OPS, general expense, and travel budgets to ensure compliance with university policies.
  • Assists with purchasing processes, staffing coordination, OPS hires, and period activity pay.
  • Reviews, prepares, and submits reimbursement requests in accordance with established policies and timelines.
  • Supports student-facing scholarship communications and processes related to auditions, awards, and enrollment confirmations.
  • Maintains accurate student records and reports related to scholarships, enrollment, and program requirements.
  • Assists with required paperwork and coordination for international students in collaboration with appropriate university offices.
  • Assists with the coordination and administration of student auditions, including scheduling, communications, and follow-up.
  • Serves as a liaison with faculty regarding student auditions and scholarship outcomes tied to audition results.
  • Maintains and updates the Accepted Students website and related communications to ensure timely, accurate, and student-centered information.
  • Assists with the preparation, maintenance, and submission of NASM accreditation forms, data collection, and required reports.
  • Supports accurate documentation and reporting for accreditation, audits, and program review requirements.

Other Duties:

  • Performs other job-related duties as assigned in support of the mission and operations of the Bower School of Music & the Arts.

Additional Job Description

Required Qualifications:

  • This position requires either six years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in an appropriate area of specialization and two years of full-time experience directly related to the job functions.
  • Experience with computer systems and proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.

Preferred Qualifications:

  • Master's Degree from an accredited institution in an appropriate area of specialization.

Knowledge, Skills, and Abilities:

  • Knowledge of policies, procedures, and regulations pertaining to the position.
  • Knowledge of budget management, financial tracking, reconciliations, and reporting practices.
  • Knowledge of purchasing, accounts payable/receivable, OPS hiring, and payroll-related processes.
  • Skill in organizing resources and establishing priorities.
  • Skill in maintaining accurate databases, records, and reports.
  • Skill in website content maintenance and student-facing communications.
  • Skill in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Strong interpersonal skills and ability to deal effectively in a team environment.
  • Advanced verbal and written communication skills and the ability to present effectively to small and large groups.
  • Ability to understand, interpret, apply, and explain personnel policies and procedures.
  • Ability to manage and coordinate assignments to meet deadlines.
  • Ability to work independently to complete assignments.
  • Ability to provide professional customer service.
