Job Summary
The Coordinator works under the supervision of the Operations & Initiatives Director to provide advanced administrative, operational, and programmatic support. This position operates with minimal supervision, managing complex workflows and serving as a subject-matter resource for internal and external stakeholders.
The Coordinator functions as a central resource across departments, ensuring accurate course setup, effective system functionality, compliance with grant and regulatory requirements, and high-quality data reporting. The role supports efficient processes that drive enrollment, completion, and employment outcomes.
This position directly contributes to student success, funding sustainability, and institutional effectiveness through accurate systems management, data-informed reporting, and continuous process improvement.
Essential Duties & Responsibilities & Knowledge Skills & Abilities
- System & Program Operations (30%)
- Coordinate course and session setup, updates, and microcredential builds within Enrole - online registration system
- Open, audit, and maintain courses and sessions to ensure accuracy and availability
- Schedule sessions using 25Live
- Administer and maintain systems including Enrole, Informer 5, and Salesforce
- Serve as the primary system support contact for staff and students
- Train staff on system functionality, updates, and best practices
- Grants, Compliance & Funding Oversight (20%)
- Review and approve or deny grant applications based on program guidelines
- Ensure compliance with grant requirements, FERPA, and institutional policies
- Conduct labor market data research to inform funding decisions and program eligibility
- Support and compile data for grant reporting
- Ensure alignment with R403 and applicable regulations
- Financial Coordination & Reporting (15%)
- Reconcile and monitor aging reports and financial transactions
- Process manual refund requests and cash on account balances
- Support revenue tracking, reporting, and analysis
- Coordinate financial processes for contract training and employer sponsored registrations
- Data Management & Performance Tracking (15%)
- Track and analyze:
- Enrollment and completion rates
- Employment outcomes for program completers
- Operational and program performance metrics
- Ensure data quality, integrity, and consistency across systems
- Generate reports using Informer 5 to support leadership decision making
- Stakeholder Support & Coordination (10%)
- Provide support to students, staff, employers, and leadership
- Serve as a liaison for cross-departmental coordination
- Support contract training processes and company registrations
- Resolve complex issues and escalate as needed
- Process Improvement & Documentation (5%)
- Develop and maintain Standard Operating Procedures (SOPs) and desk manuals
- Identify and implement process improvements, automation, and system enhancements
- Monitor workflow efficiency and recommend operational improvements
- Other Duties as Assigned (5%)
- Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
- Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
Minimum qualifications
- Bachelor's degree plus 2-5 years of relevant experience
- OR an equivalent combination of education and experience.
Preferred Qualifications
- Experience with Enrole, Informer 5, or similar systems
- Knowledge of workforce development programs and grant funded initiatives
- Experience conducting or utilizing labor market data analysis
- Familiarity with workforce training or custom training programs
- Experience ensuring compliance with FERPA and regulatory guidelines
