Job Summary: Reporting to the Manager of Crooked Oaks, the Events, Hospitality, and Client Services Coordinator serves as the lead to drive event activity, increase facilities utilization, and enhance guest experiences. This role focuses on booking, scheduling, and executing events—including weddings, corporate retreats, meetings, and special functions—while ensuring exceptional hospitality and feedback before, during, and after the event.

The ideal candidate will possess a background in event sales and guest relations, along with the confidence to represent the venue at public events and expos. A strategic, goal-oriented mindset is essential, as is a deep understanding of customer service and client engagement. This position expects a certain level of independence, exceptional interpersonal skills, public speaking skills and work hours in evenings and weekends. This position also requires frequent travel locally and occasional travel regionally.

Essential Functions

  1. Client engagement, sales, services, and data management: Operates as the outward-facing representative of Crooked Oaks, attending expos, conferences, and community events. Serves as the primary point of contact for event inquiries, venue tours, bookings, and client support. Tracks and maintains detailed records of lodging and event inquiries, tours, bookings, and lead sources. Ensures a high-quality, guest-focused experience throughout the sales cycle and beyond.
  2. Building partnerships and communications: Builds and maintains strategic partnerships with university groups, corporate groups, community organizations, alumni, and the general public. Actively communicates with these groups to ensure stable sales opportunities. Collaborates with CFWE Offices of Advancement and Communication and Marketing in promoting event sales and services.
  3. Hospitality-driven event execution: Coordinates all logistical aspects of events with a focus on hospitality, from contract negotiation and vendor coordination to on-site management and post-event follow-up. Meets or exceeds targets for bookings, revenue, client satisfaction, and facility utilization.
  4. Administrative & operational support: Provides day-to-day office and operational support related to event planning, reservations, vendor communication, and hospitality coordination. May supervise student workers, interns and temporary workers.

Minimum Qualifications

Minimum Qualifications: Bachelor’s degree

Minimum Skills and Abilities: While no prior experience is required, experience in Event Sales, Event Coordination, Customer Relations, and Hospitality Management is preferred.

Minimum Technology Skills: Experience in Microsoft Office applications (Excel, Word, Outlook)

Minimum License and Certifications: None Required.

Desired Qualifications: Prior experience in Kronos, Word, Excel, Outlook, PowerPoint, and with AU policies and procedures are desired.

Salary Range: $43,190 - $64,790
