Job Profile: Outreach Program Coordinator

Job Duties: The Center for Dairy Research (CDR) is seeking a Program Coordinator to support a growing innovative unit on the UW-Madison campus. Housed in a new, state-of-the-art facility in Babcock Hall, CDR is the largest dairy foods research program in the US. The Center has over 60 full-time staff, supports graduate and undergraduate research, and provides technical and training support services to hundreds of dairy producers and processers around the globe. CDR is home to the Dairy Business Innovation Alliance (https://dbia.wisc.edu/). In partnership with the Wisconsin Cheese Makers Association, the DBIA administers programs providing technical assistance as well as grants to dairy farms and businesses in Illinois, Iowa, Indiana, Kansas, Michigan, Minnesota, Missouri, Nebraska, Ohio, South Dakota and Wisconsin.

The CDR is currently seeking a Program Coordinator to manage the administration of the DBIA program. This includes proactively working with regional collaborators to deliver the program's grant and technical assistance programs, providing reports and policy recommendations to the DBIA senior management team, and managing the full grant-making lifecycle of $3M in small business grants awarded through two applications cycles annually. The DBIA program coordinator will be responsible for application/program outreach, marketing and support, application review, facilitating meetings to make award decisions, applicant notification, award documentation, conducting webinars for applicants and awardees, communication coordination, report generation and additional grant support to CDR.

The ideal candidate will have experience coordinating participant-based programs, familiarity with grant-making activities and a proven record of efficiently managing multiple projects while maintaining high-quality output. They will showcase strong interpersonal and communication skills and have demonstrated experience building and maintaining collaborative relationships with diverse stakeholders. Familiarity with USDA or other federal agencies, experience using data management and reporting systems, and a broad knowledge of best practices in communications are additional attributes that would be helpful in this role.

Key Job Responsibilities:

  • Identifies, promotes, and maintains internal and external partnerships to promote the outreach program
  • Schedules and secures logistics and resources in support of an outreach program
  • Directs the implementation of program policies and procedures
  • Schedules day-to-day activities for program staff and student and community volunteers
  • Identifies opportunities for program improvement or new outreach program development

Department: College of Agricultural and Life Sciences, Center for Dairy Research - Administration

Required Qualifications: Experience coordinating programs with a variety of stakeholders including participants, program partners, administration etc. Demonstrated ability to plan, manage multiple tasks, establish priorities, and organize varied and complex tasks in a fast-paced, high-volume environment.

Preferred Qualifications: Knowledge of project management frameworks to organize collaboration with others. Demonstrated experience with grant applicant tracking databases, client relationship managements systems, or similar databases to manage relationships, programs, or reporting. Familiarity with federal agency grants' rules and regulations.

Education: Bachelor's degree preferred
