Job Description: Responsibilities will include coordinating and maintaining student academic records as they relate to degree completion; uphold and perform operating procedures for academic policies, including verifying appropriate approvals, collecting and validating documentation, and conduct data entry. Coordination of the application for graduation and declaration of major processes, including communicating with appropriate academic personnel regarding related information. Support the institution's overall goals for student retention and graduation.
Duties include but are not limited to:
- Review and process student record edits related to student major and/or program to ensure data integrity.
- Investigate degree discrepancies as identified by National Student Clearinghouse (NSC) and correct records, if applicable, and update the NSC website.
- Coordinate the process for declaration of major forms, leaves of absence and applications for graduation, including instructing and advising support staff on relevant methods and procedures.
- Interface with various campus officials including academic advisors and program coordinators regarding student degree programs and graduations.
- Coordinate the process for ordering diplomas with third-party vendor each term and maintain routine communication with students regarding duplicate and/or undelivered diplomas.
- Assist with testing software upgrades and new functionality to software systems to include but are not limited to Pathway (PeopleSoft), Kuali and Perceptive Content.
- Provide professional staff support to college, school or departmental committees and related faculty committees as needed.
- Work with students and/or academic units to determine best resolution to issues that may arise.
- Provides daily support to the Office of the Registrar by serving as part of the team responsible for answering calls through the main office phone queue line.
- Maintain accuracy, confidentiality, and security of student files in alignment with FERPA regulations.
- Other duties as assigned.
Minimum Qualifications: A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary
Anticipated Hiring Range: $18.87 - $22.10 per hour commensurate with experience, education, and internal equity.
