- Independently process gifts daily for the Hoover Institution
- Produce daily and weekly gift reports
- Interface with University Development Services to ensure gift records are aligned between the Hoover Institution and Office of Development
- Oversee the donor welcome process for new Hoover Council supporters
- Provide administrative support for the development events program
- Manage inventory for development events and donor welcome packets
Responsibilities
Core Duties:
Data Processing & Gift Management
- Independently process complex and high-profile gifts
- Manage and process high volume of biographical data, including analyzing and monitoring entries for accuracy and completeness to maintain data integrity and hygiene.
- Review all daily gift receipts, acknowledgements and tribute letters that are sent to donors.
- Coordinate with development officers on large or complex gifts.
- Utilize multiple gift processing systems for high-profile activities.
- Determine gift allocation and reach out to officers for confirmation.
- Process credit card transactions and follow up on failed transactions.
Systems & Process Improvement
- Develop and maintain expertise in database systems and assist with new data features/patterns.
- Analyze database information and identify process improvements.
- Recommend new processes and systems for testing.
- Document SOPs
Compliance & Audit
- Ensure compliance through systematic internal database audits.
- Coordinate resolution of multi-area compliance issues.
- Test and recommend workflow improvements within parameters.
Staff Development & Leadership
- Train junior staff on systems and processes
- Provide business support to development officers and finance.
- Propose new processes, improvements, and systems to improve data collection and inconsistencies.
External Relations & Communication
- Provide customer and business support to development officers and finance.
- Coordinate with development officers on complex gifts and/or data projects
Minimum Education and Experience
Bachelor’s and 3 years of relevant experience OR equivalent combination
Knowledge, Skills and Abilities
- Technical: Intermediate gift systems expertise; troubleshoots multi-system issues; working knowledge of IRS regulations. Advanced ability in MS Office Suite and applications
- Communication: Advanced correspondence and documentation; confident presentations; trusted partner to development officers
- Problem-Solving: Investigates complex problems and recommends solutions; independent and sound judgment on transactions. Conduct research and ability to interpret information.
- Management: Small project leadership; emerging leader; peer mentoring and training
- Specialized: Intermediate financial skills; risk identification and control implementation; solid development operations foundation
