Director of Advancement Services
Position Purpose
The Director of Advancement Services manages all Advancement service operations and oversees the maintenance and upkeep of Advancement database systems, gift management, record management, and data analysis. This person is responsible for supporting prospect management and research systems, creating and distributing all Campaign and recurring departmental reports, and enforcing compliance with CASE, IRS, and internal NEC gift and reporting policies and procedures.
Essential Duties Summary
- Serve as database administrator for the Advancement Office's database;
- Maintain all alumni and donor records according to industry best practices. Oversee all ongoing data hygiene procedures and ensure that appropriate privacy and security measures are in place;
- Oversee the Advancement SharePoint libraries for shared files. Create new sites and manage team membership as needed;
- Responsible for training the Advancement staff on the database and department procedures related to data management, reporting, and prospect management;
- Review all gift forms and mechanisms prior to distribution and make recommendations to ensure compliance with policies and best practices;
- Responsible for all gift processing, receipting, and reconciliation with the Finance office;
- Oversee all departmental reporting and create new reports/dashboards as needed;
- Create, maintain, and refine, on an ongoing basis, a comprehensive prospect rating strategy;
- Create and refine, on an ongoing basis, a prospect identification and research system that feeds new prospects into Major Gift and Annual Giving prospect portfolios;
- Create, update, and refine, on an ongoing basis, a dashboard system for gift officers to reflect pipeline development and metric tracking;
- Import affinity and parent group data into the Advancement database in a useful and timely manner for the purposes of including those constituents/affinity groups in Advancement outreach;
- Produce all mail and email lists for Advancement communications including solicitations, events, general updates, and the NEC magazine.
Required Qualifications
Education/Licensure
- Bachelor's Degree required
- Master's degree preferred
Experience
- 2 years of supervisory experience
- 5-7 years related experience
Skills and Knowledge
- Ability to handle multiple priorities, meet strict deadlines, and achieve defined goals
- Proficient with Raiser's Edge, Banner, or similar database systems
- Knowledge of Argos (or a similar reporting tool) preferred
- Proficient in MS Office products including Excel
- Familiar with querying tools
