Job Description Summary: Responsible for programmatic and operational duties in support of the Office of the Dean administering internal and external relations relating to College facilities, external city and county stakeholders, community partnerships, outreach, advancement, alumni relations, and strategic networks relevant to programmatic branding and networks involving all aspects of College brand, as well as other duties assigned by the Dean.
Minimum Qualifications:
- 2–5 years of progressively responsible administrative or operational experience, preferably in higher education, nonprofit, or public sector environment.
- Experience providing executive-level support (e.g., to senior leadership, board members, or deans/presidents).
- Experience in external relations, communications, or event coordination.
Preferred Qualifications:
- Experience managing projects and/or coordinating operations across multiple departments or stakeholders.
Specific Duties:
Director of Operations:
- Provide administrative support to the office of the Dean regarding the advancement of his/her duties regarding the operation of the College of Law and Public Service, including the administration of his/her calendar, appointments, and communications with all constituents and stakeholders of the College.
- Manage, in collaboration with the Dean’s Office, building hours in relation to programmatic needs, holidays, and final exam cycles.
- Coordinate and administer, in collaboration with the Dean, all issues impacting the College facilities; internal university communications and processing of work orders addressing facility issues, including HVAC, electrical/lightening, elevator, plumbing, fire, security, keys, parking building alarms, vehicle chargers, pest control, landscape, interior maintenance and repairs, signage, housekeeping, and communication to all constituents and stakeholders to the extent it impacts academic programming and operations.
- Manage, supervise, in collaboration with the Dean, and oversee all security measures and public safety issues and relationships with public safety authorities (police, fire, City of Ontario, Sheriff, etc.) that may impact College operations. (30% of time)
External Relations:
- Serve, support, and administer to the Office of the Dean in scheduling, advancing, and nurturing external relations and promoting College brand with local, regional and state-wide bar associations, community stakeholders, governmental entities, and other for-profit and non-profit civic stakeholders.
- Serve and support the Office of the Dean in advancing and nurturing effective partnerships with University of Advancement initiatives.
- Serve and support the Office of the Dean in networking with and cultivating College Board of Advisors.
- Serve, support and administer to promotion, maintenance and cultivation of strategic community alliances with other Cal-Bar Colleges.
- Serve, support, and advance, in collaboration with the Office of the Dean, all external interests, including relationships with potential and existing donors and other funding agencies.
- Serve, support and administer, in collaboration with the Office of the Dean, alumni relationships.
- Serve and provide strategic leadership to College Alumni Boards, in collaboration with the office of the Dean and University Alumni departments.
- Provide strategic leadership and advance all alumni events, relationships at the College of Law and Public Service, as well as at University. (50% of time)
Event Planning:
- Direct, supervise, authorize, administer, coordinate, in collaboration with relevant college departments, all internal and external events. Including: supervision of external vendor service agreements relating thereto. (25% of time)
Salary Range:
Maximum: $101,423.00
Minimum: $98,718.83
