The Institute for Economic and Social History conducts integrated research and teaching in economic, social, and cultural history, as well as history education in collaboration with other historical institutes. It examines and teaches economic, social, and cultural developments in global, national, regional, and local contexts up to the present day. We are a dynamic team and host numerous third-party funded projects financed by national and international funding agencies such as FWF, Jubiläumsfonds, and EU programs.
This position is initially limited to one year, with the option of becoming permanent by mutual agreement.
Your future tasks:
- You will be responsible for the administrative coordination and management of third-party funded projects at the institute and will support project managers and staff from the application phase through to project completion.
- You will coordinate scientific events at the institute and support the institute's public image.
- In addition, you will assist the Executive Board with various organizational tasks and play an active role in shaping the further development of the institute.
Tasks in the area of third-party funding
- Coordination of third-party funding activities at the institute, as well as coordination with the third-party funding department at the dean's office and DLE Research Services
- Support for project managers and staff in the administrative implementation of projects from start to finish
- Independent and autonomous organization of administrative processes in the area of third-party funding at the institute (budget and personnel agendas)
- Independent invoice processing and budget control, as well as preparation of interim and final reports
- Supporting project staff with formalities relating to personnel matters (such as vacations, business trips) and supporting project management in the recruitment of new project staff
- Acting as an interface between the institute and internal university departments (faculty, human resources, finance, etc.) and external bodies (funding agencies and project partners)
- Maintaining websites and public relations for third-party funded projects
Tasks in the area of event coordination
- Independent organization of scientific events at the institute (colloquiums, lectures, workshops, conferences), including scheduling, creating programs, flyers, posters, room reservations, catering, communicating with participants, hotel reservations, and billing
- General institute tasks
This is part of your personality:
- Professional experience in office organization and accounting (preferably in a scientific/university context)
- Ideally, a completed BA degree
- Very good MS Office skills, knowledge of SAP, Typo3, and graphics programs is an advantage
- Very good written and oral communication skills in German and English
- Independent, structured, and solution-oriented approach to work
- Ability to work in a team and strong social and communication skills.
