Eat Smart, Move More, Weigh Less Program Assistant
Essential Job Duties
The Eat Smart, Move More, Weigh Less team within the Department of AHS in CALS administers and oversees two distinct programs: 1) a 15-week weight management program, Eat Smart, Move More, Weigh Less, and 2) a 12-month, CDC-recognized diabetes prevention program, Eat Smart, Move More, Prevent Diabetes.
This position will serve as the Program Assistant for both programs and work closely with the Program Manager and other team members. Duties will include, but not be limited to:
PROGRAM ADMINISTRATION (40%):
- Coordinate mailings of program materials as well as attendance-based incentives to enrolled program participants based upon outlined protocols.
- Connect with appropriate vendors to secure and manage inventory of all program materials, including workbooks, journals, and incentives.
- Assist with various program operations-related tasks such as updating enrollment counts, tracking client invoices, etc.
- Assist with credentialing and filing related paperwork for program instructors to ensure they are in-network with insurance providers for the purposes of claims filing.
- Assist with claims submissions and associated tasks such as eligibility checks, denied claims tracking, etc.
- Coordinate and maintain a database of instructor sub requests.
- Assist with scheduling meetings for the team as needed.
- Attend and report at regularly scheduled team meetings.
COMMUNICATIONS (60%):
- Provide primary coverage for program admin email accounts and respond to emails in a timely manner.
- Send standard emails to enrolled program participants at the beginning and end of each program series.
- Review participant communication in the online portals for select instructors per defined program protocols.
- Maintain and communicate the task list to the program web developer on an ongoing basis to ensure program websites, online registration systems, and participant portals are up-to-date and functional.
- Collect, organize, and post participant testimonials on program websites.
- Post regular content to program social media accounts on platforms such as Facebook, Instagram, and Pinterest.
- Post blogs submitted by team members on program websites and track views using Google Analytics.
- Draft and schedule monthly newsletters to highlight recent blogs and upcoming classes for programs.
- Update basic website content as necessary using WordPress.
- Assist with marketing/recruiting events to create awareness about the programs.
- Maintain a relevant contact database in Constant Contact or a similar platform and conduct email marketing campaigns for the target audience.
