Position Summary:
Reporting to the Assistant Vice President for Enrollment Operations and Special Projects, the Enrollment Operations Manager oversees the systems, workflows, and data integrity that support the university's undergraduate and graduate admissions processes. This role ensures the smooth functioning of the admissions CRM (Salesforce), manages application processing, and supports compliance, reporting, and continuous improvement initiatives. The Admissions Operations Manager is responsible for creating and maintaining operational processes, delivering ongoing training to admissions staff, and ensuring a seamless, student-centered experience.
This is an exempt, full-time position located in Fremont, CA, with eligibility for a hybrid schedule of up to two days per month.
Salary Range: $115,000-$135,000 annually, commensurate with experience and qualifications.
Essential Duties and Responsibilities:
- Report directly to the Assistant Vice President for Enrollment Operations and Special Projects and collaborate closely on strategic enrollment initiatives.
- Manage day-to-day operations of the admissions CRM (Salesforce), ensuring data accuracy, system functionality, and user support.
- Build and maintain dashboards and reports that provide real-time insights into funnel health, counselor activity, application status, and conversion metrics.
- Run regular discrepancy reports to identify and resolve data integrity issues across the admissions pipeline.
- Create, document, and refine admissions processes that support consistency, efficiency, and compliance.
- Work in concert with the Assistant VP for Enrollment Operations and Special Projects to design and deliver ongoing training for admissions staff on Salesforce usage, operational workflows, and service standards.
- Configure and maintain recruitment event calendars and territory management assignments within the CRM to support outreach strategies and ensure proper lead allocation.
- Collaborate with IT and Enrollment leadership to implement system enhancements and troubleshoot issues.
- Monitor key operational metrics and generate reports to inform strategic decision-making.
- Ensure compliance with institutional, state, and federal regulations related to admissions and student data.
- Coordinate with cross-functional teams (e.g., Financial Aid, Registrar, Marketing) to ensure alignment and data consistency.
- Contribute to the development of service-oriented processes that prioritize applicant experience and institutional goals.
- Maintain and annually update SFBU's institutional profile and conditional application settings on external platforms such as the Common App and Niche.
- Ensure all external application platforms reflect current admissions policies, program offerings, deadlines, and branding in coordination with Marketing and Academic Affairs.
- Track update cycles and proactively manage timelines to ensure timely submission and compliance with platform requirements.
Minimum Qualifications:
- Bachelor's degree in a related field (or equivalent experience). Master's degree preferred.
- Minimum of 3 years of experience in admissions operations, enrollment management, or higher education systems administration.
- Proven experience managing Salesforce in a higher education or enrollment context.
- Demonstrated ability to build dashboards, run reports, and maintain data integrity.
- Experience with data analysis, reporting, and compliance in a higher education setting.
- Excellent organizational and project management skills.
- Ability to work occasional evenings and weekends to support admissions cycles and events.
Knowledge, Skills, and Abilities:
- Deep understanding of Salesforce CRM and its application in admissions operations.
- Strong analytical skills and attention to detail, especially in identifying and resolving data discrepancies.
- Ability to communicate technical concepts to non-technical audiences.
- Commitment to continuous improvement and operational excellence.
- Familiarity with FERPA and other data privacy regulations.
- Ability to work collaboratively across departments and with external partners.

- Ability to maintain confidentiality and handle sensitive information with discretion.
Work Environment & Physical Demands:
Physical demands include lifting limits (20 lbs), bending, sitting, driving, and occasionally standing for long periods. Job duties are typically performed in an office environment.
