Salary Range:
Level II: up to $39,000
Level III: up to $44,000
Hours: 40 hours per week, non-exempt.

Essential Functions

Job Summary

Level II

The Enrollment Services Associate II will provide intermediate skills and knowledge for a variety of administrative, technical and/or processing duties or specialized activities for various enrollment services units. The role is responsible for processing a variety of documents and/or processes and interpreting the rules and needs of students for various enrollment services units.

Level III

Performs highly responsible and varied administrative, technical and/or processing duties or specialized activities for various enrollment services units. Responsible for processing a variety of documents or serving as a point of contact for students for financial aid, undergraduate admissions, registrar and/or one-stop enrollment center and may supervise one or more Enrollment Services Associate I or II or student employees.

Core Responsibilities

Level II

  1. Evaluate coursework from regionally accredited institutions.
  2. Apply predefined articulation rules and refer exceptions to higher-level staff.
  3. Provide general support to students and advisors related to transfer credit questions.
  4. Counsels and communicates with students on various enrollment issues that may include admissions eligibility, NCAA eligibility, residency status, veteran's certification, enrollment and/or registration, or financial aid eligibility, or other related enrollment eligibility and/or needs.
  5. Processes paperwork for various enrollment units that may include admissions applications, transcript processing, financial aid document/paperwork, registration, residency status, NCAA eligibility documentation, enrollment, graduation, or other enrollment eligibility and/or needs.
  6. Performs complex evaluations and consults with individuals involved in reaching a determination and answers inquiries from other areas on campus as needed for all enrollment services units.

Level III

  1. Evaluate complex or non-traditional transcripts (e.g., international, military, AP/CLEP, prior learning).
  2. Review and approve exceptions or escalated cases from Level II evaluators.
  3. Serve as liaison to academic departments for course evaluation and credit decisions.
  4. Train new staff and provide quality control oversight.
  5. Participate in strategic initiatives to streamline transfer processes.
  6. Supervises full-time and/or part-time and/or student staff either directly or indirectly. Provide feedback and assists the Assistant/Associate Director with performance evaluations and one-on-ones and/or disciplinary procedures. Observes performance and assists with development plans and serves as a mentor for team members.
  7. Evaluates transferability of undergraduate courses taken at domestic institutions for new, transfer and currently enrolled students. Analyzes applicant credentials to ensure data integrity. Evaluates transcripts of applicants for discrepancies; researches and resolves issues as necessary. Creates and maintains transfer credit equivalencies; enters transfer credits and facilitates uploads between third party systems.
  8. Solves complex evaluations for all enrollment services units.
  9. Assists with developing processes and procedures for all enrollment units.
  10. Assists Associate/Assistant Directors with organizing and implementing new programs, preparing program information for dissemination, marketing programs to target audiences, and identifying program weaknesses.
  11. Interacts with university departments, student groups, and external agencies as needed.
  12. Promotes safety and environmental protection by immediately reporting unsafe situations, spills, and accidents; following University safety plans/procedures/protocols; and participating in appropriate safety training.

Both levels

  1. Maintains records, gathers data, and prepares reports as needed for all enrollment services units.
  2. Assists with document intake, imaging, and indexing for all enrollment services units.
  3. Participates in committees and/or conferences/meetings.
  4. Performs other duties as assigned for enrollment services units.

Required Qualifications

Level II

  • High school graduate or equivalent.
  • Two (2) years of full-time equivalent experience in enrollment management/services, data entry, customer service, student service, and paperwork processing. A Bachelor's degree with one (1) year of the above experience may substitute.
  • This position requires the ability to maintain the security and integrity of UTSA and its infrastructure.

Level III

  • High school graduate or equivalent.
  • Three (3) years of full-time equivalent experience in enrollment management/services, customer service, student services, clerical, or data entry. A Bachelor's degree with one (1) year of the above experience may substitute.
  • This position requires the ability to maintain the security and integrity of UTSA and its infrastructure.

Preferred Qualifications

Level II

  • Bachelor's degree from an accredited university.
  • One (1) year of higher education experience in processing and/or customer service.

Level III

  • Bachelor's degree from an accredited university.
  • Three (3) years of higher education experience in enrollment management/services.
  • Banner experience.

Knowledge, Skills, and Abilities

Both levels

  • Demonstrated organizational, written, and verbal communication skills.
  • Excellent interpersonal and organizational skills.
  • Ability to multi-task and work cooperatively with others.
  • Standard office equipment.
  • Proficient in Microsoft Office Suite.

Additional Information

UTSA is a tobacco free campus. This is a security sensitive position. Employment is contingent upon a successful background check. Working Conditions

Office environment. Ability to travel to and from meetings, training sessions, or other business-related events. Occasional after-hours and weekend work or overtime may be required.

Physical Demands: Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally. Exerts up to 10 lbs. of force occasionally.

This position will require working both remotely in Texas and on campus (approximately five or more days on campus per month). Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
