Enrollment Systems Coordinator - Bellarmine University
Position Summary
The Enrollment Systems Coordinator is responsible for managing all First-Year, Post-Bacc and Graduate application processing in the Nursing and Health Sciences schools, transfer students, and select international applicants. The role oversees accurate and timely application workflows in Slate CRM and related systems, manages data integrity between Slate and Colleague. The position also serves as a resource for applicants, faculty, and campus partners to ensure a smooth admissions and enrollment process.
Key Responsibilities
Application Processing & Data Integrity
- Manage and review applications from NursingCAS (NCAS) and PTCAS for Nursing and Health Sciences programs.
- Process and import international academic credentials (e.g., SpanTran, Portage).
- Import and reconcile standardized test scores, including GRE and TOEFL.
- Collect, review, input, track, and file all applications within Slate CRM and Colleague SIS.
- Maintain up-to-date student records and run reports to ensure data accuracy and compliance.
- Respond to student inquiries via email and phone regarding application status and processes.
System Oversight & Technical Functions
- Conduct Clearinghouse reviews (NSC) for transfer and select first-year students to identify prior attendance and add schools to records.
- Monitor and resolve issues in Slate Sync (CRM?SIS integration) to ensure accurate synchronization of records.
- Review and process Batch Acquire documents within Slate CRM.
- Consolidate and monitor duplicate records in Slate, merging when appropriate to maintain data integrity.
- Run queries in Slate for NursingCAS/PTCAS populations, transfer admits, and FY students requiring Clearinghouse review.
- Assist with importing and processing athletics-related items from ARMS.
Team & Cross-Office Support
- Provide guidance to colleagues on application processes, statuses, and system troubleshooting.
- Assist other admissions coordinators during peak processing times.
- Supervise and train student workers as needed.
- Perform other duties as assigned by the Director.
Working Conditions
Fast-paced office environment with multiple deadlines and competing priorities. Evening and weekend work may be required during peak periods. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Job Requirements
Minimum Qualifications
Education: Bachelor's degree required.
Experience: At least 6 months of experience working with application populations in higher education, or equivalent training/experience. Experience with Slate CRM and/or Colleague preferred.
Skills:
- Strong attention to detail and organizational skills.
- Proficiency with Slate CRM, Colleague SIS, and standard office applications (MS Office/Google Workspace).
- Ability to interpret and apply academic policies and procedures.
- Effective written and verbal communication skills.
- Ability to problem-solve and adapt in situations with limited standardization.
Interpersonal: Customer service orientation; ability to collaborate effectively with students, staff, and faculty.
Supervision: May supervise work-study students.
