Event Coordinator (AA1) Part-Time
Job Summary/Basic Function
The Event Coordinator assists the Division of Advancement, as well as the University (when assigned), to produce and execute a wide array of events that recognize, celebrate, nurture, and engage donors, alumni, parents, faculty, staff, retirees, and friends, including but not limited to campaign and development-related events, Presidential programming, Commencement, etc. This position is responsible for coordinating and executing event details and other duties ensuring Advancement and University Events run smoothly and effectively.
Position Salary
$23.47 per hour
Duties and Responsibilities
- Assist Director in events: Coordination of details, monitoring timelines, design aspects, preparation of presentations, scripts, invite lists, room layouts, on-site production, budgets, nametags, materials, interaction with president’s cabinet and staff, liaison for constituencies, manage vendors, coordinate volunteers, schedule photographers, organize event materials.
- Scheduling and Event Calendaring: Developing and maintaining guidelines, processing requests for Astra software, providing training, reviewing and approving postings, establishing standards, troubleshooting issues.
- Office Administration: Support Director with software, screen calls and emails, file documents, maintain office spaces, manage correspondence, assist with requisitions, use database for information, maintain departmental website, support university initiatives.
Required Qualifications
- Bachelor’s degree and three years of event planning experience.
- Experience in special events, alumni, development, or hospitality.
- Excellent customer service, communication, organizational skills.
- High integrity, ability to handle confidential information.
- Comfort in dynamic environments, proficiency in Microsoft Office.
- Commitment to inclusive practices.
Preferred Qualifications
- Experience with student information systems, Raiser’s Edge, Astra, or CourseDog.
- Experience in higher education.
Essential Functions
Work is performed at a desk in an office environment, involving sitting for long periods, verbal and written communication, intermediate math skills, and lifting up to 10 pounds.
