Executive (Administration and Research Support)
Job Description
To provide administration and research support for Vice-Deans and RSU.
Executive and Administrative Support
- Provide secretarial and administrative assistance to two Vice-Deans, including calendar management, scheduling of meetings, and coordination of appointments.
- Manage travel arrangements, including booking of flights, accommodation, and ground transport, as well as processing travel and expense claims in a timely manner.
- Organise departmental events such as meetings, working lunches, and ad hoc engagements.
- Record minutes of internal meetings and ensure appropriate follow-up on decisions and action items.
Research and Community Support
- Support the planning, coordination, and logistics of research-related activities such as seminars, workshops, brown bag sessions, and speaker series.
- Raise and prepare procurement documentation in accordance with the University Procurement Policy.
- Process invoices and reimbursement, and work with Finance to address payment issues.
- Assist in the administration and monitoring of research grants, ensuring compliance with relevant terms and conditions.
- Undertake ad hoc research-related and administrative assignments as required.
Qualifications
- Minimum 1-3 years’ experience in an administrative or Personal Assistant role.
- Diploma or Degree from a recognised institution/university.
- Strong knowledge of secretarial duties.
- Possess good administrative and organisation skills.
- Fluent in spoken and written English.
- Able to work independently.
- Good communication and interpersonal skills.
- IT savvy and proficient in Microsoft Office applications.
