Executive Administrative Assistant
Position Summary
Provide secretarial and administrative support to the Dean of the Law School. Involves written and verbal communication with inside and outside constituencies; managing the Dean's calendar, scheduling meetings; making travel arrangements; updating faculty records; acting as recording secretary for faculty meetings and Board of Consultor meetings; organizing and entering data for various national law school surveys.
Duties and Responsibilities
- Answer and initiate telephone calls; record messages, manage the Dean's calendar, schedule meetings and appointments; communicate with faculty and staff in a variety of ways.
- Correspondence: draft, transcribe, type, copy, and distribute letters, memos, mailings, emails and faxes.
- Act as recording secretary at faculty meetings and Board of Consultors meetings; draft and revise the minutes; make copies for distribution; maintain a record of all meeting-related materials.
- Make travel arrangements for the Dean and manage the Dean's procurement card account.
- Organize and enter data for the ABA Annual Questionnaire, the AALS Law Teachers Directory, and other national law school surveys.
- Maintain and update files, maintain office supplies.
- Handle and distribute office mail.
- Perform additional duties and assist with special projects as assigned.
Minimum Qualifications
Formal Education
- High school diploma or equivalent
- At least 3 years' experience as an administrative assistant
- Excellent communication (written and verbal) and interpersonal skills
- Outstanding secretarial and organizational skills
- Highly proficient in Microsoft Office Suite
- Able to work effectively with interruptions and prioritize work with competing deadlines
- Able to manage multiple complex projects effectively
- Able to work independently and in collaboration with others
- Able to handle highly confidential material in a professional manner
- Professional demeanor
- Able to conduct business in a way that upholds the Augustinian values of the University.
Preferred Qualifications
- Some college education preferred.
- 4-6 years' experience in an academic setting preferred.
Salary Posting Information
This position falls within hourly grade 14 and the range for this position is $35.22-36.26/hr. The final salary will be determined with consideration of several factors including the selected candidate's qualifications, department budget availability, market data, and internal equity.
