EXECUTIVE ASSISTANT TO ASSOCIATE PROVOST & VP RESEARCH, University Research
Boston University's Office of Research is seeking an Executive Assistant to provide high-level administrative and operational support to the Vice President and Associate Provost for Research. This role requires a highly organized professional who can manage multiple competing priorities, complex scheduling, and a broad range of administrative responsibilities with discretion and efficiency. Working closely with senior leadership and the broader research community, the Executive Assistant will help ensure the smooth day-to-day operations of the Office of Research while supporting strategic initiatives and research administration activities. The role serves as a primary point of contact for internal and external stakeholders requiring strong communication skills, professionalism, and sound judgment.
Key responsibilities include:
- Managing the VP/APs calendar and coordinating complex meetings and events, including preparing agendas, compiling materials, recording minutes, and tracking follow-up actions.
- The Executive Assistant will also arrange travel, process expense reports, draft correspondence, and support administrative approval processes.
- In addition, the role coordinates logistics and operations for research-related committees and leadership groups, including scheduling meetings, reserving space, coordinating catering and travel, preparing meeting materials, and maintaining records and action items.
- The position also supports a variety of research administration functions, including coordinating center reviews, organizing visits for scholars and guests, managing communications related to research awards and initiatives, and tracking deliverables for reports and special projects.
- The Executive Assistant will oversee office operations such as procurement, supplies, space coordination, and records management, while also assisting with the planning and execution of research-related events and initiatives.
- Success in this position requires exceptional organizational and communication skills, the ability to work independently and proactively, and strong attention to detail.
Required Skills
Bachelor's degree and minimum of 2 years' experience required. Candidates should be proficient in Microsoft Office and calendar management systems and comfortable handling confidential information with discretion and professionalism.
