Job Responsibilities:
The Citadel, The Military College is seeking a Executive Business Coordinator who will report directly under the VP of Finance and Business. This role provides a highly diversified and executive-level administrative support functions for the Vice President for Finance and other senior staff at the Citadel.
- Composes and types drafts of general correspondence for the Vice President of Finance and Business.
- Prepares or revises PowerPoint slides for presentation; to include proofreads copy for spelling, grammar, and layout, making appropriate changes.
- Records financial reports; takes meeting minutes and organizes related documents for special meetings: Citadel Trust, staff committees, cadet committees, etc.
- Maintains office budget for Finance and Business, and it's reporting units and balances monthly statements.
- Assists in preparation for BOV and other special meetings.
- Makes appointments for the Vice President of Finance and Business as well as keeps calendars current and assists with travel arrangements.
- Establishes, develops, maintains and updates filing system for the Vice President. Retrieves information from files when needed. Continually reviews files; purges outdated information; ensures permanent back-up of minutes, memoranda for the record, etc.
- Greets customers entering Vice President's Office and supports meeting logistics as needed for senior staff.
Minimum Qualifications:
A high school diploma with progressive years of executive-level administrative experience. Must have excellent written and verbal communication skills. Proven ability to multi-task; must be able to constantly and consistently prioritize workload of VP and oneself simultaneously. Thorough knowledge of office policies, practices, and procedures, plus, the ability to understand and execute complex written and oral instructions. Proficiency in Microsoft Word, Excel, and PowerPoint is required.
Preferred Qualifications:
A bachelor's degree in business or a related field with progressive years of executive-level administrative experience preferred.
