Essential Job Duties: The Executive Communications and Signature Events Specialist is a key member of the Division of Academic and Student Affairs (DASA) Marketing and Communications team and serves as a strategic partner to the Vice Chancellor and Dean. This position is responsible for leading the development of executive-level written communications, coordinating the planning and execution of high-profile divisional events, and overseeing the development of division-wide reports that communicate impact, outcomes, and strategic priorities. This position plays a critical role in amplifying the Vice Chancellor and Dean’s voice, ensuring consistent and effective messaging that reflects the mission, vision, and values of DASA and NC State University. The incumbent works closely with units across the division to gather input, coordinate information, and create clear, compelling content that supports student success, academic engagement, and campus community building.
- Executive Communications (50%): Draft written remarks, speeches, and talking points for the Vice Chancellor and Dean for use in campus-wide addresses, public engagements, leadership meetings, and events. Compose and edit emails, letters, and statements sent on behalf of the Vice Chancellor and Dean to internal and external audiences, including students, faculty, staff, and university leadership. Develop strategic communication materials that align with institutional priorities, reflect the NC State brand, and uphold DASA’s commitment to student success. Serve as a trusted communications advisor, helping shape messaging strategies that promote transparency, engagement, and trust across the university community.
- Organizational Communications (20%): Write and edit division-wide communications, including announcements, newsletters, policy updates, and internal messages. Collaborate with the DASA Marketing and Communications team to ensure consistent messaging and editorial standards across digital platforms, print materials, and web content. Support internal communication strategies that strengthen connection and alignment among DASA’s units.
- Event Coordination and Planning (20%): Plan and coordinate signature DASA events, such as division-wide meetings, beginning of the year kick-off events, end of the year awards ceremony. Manage logistics and run-of-show planning for events involving the Vice Chancellor and Dean. Collaborate with stakeholders across the division to ensure events align with strategic goals and showcase the work of DASA.
- Division-Wide Reports and Strategic Documentation (10%): Lead the development of comprehensive division-wide reports, including the DASA Annual Report. Coordinate the collection of unit-level reports from all DASA units and synthesize content into clear, accessible, and visually engaging documents. Ensure reports reflect progress toward divisional and institutional goals, and are designed to inform campus partners and external stakeholders.
- Other Responsibilities: Other tasks and responsibilities may be assigned based on the needs of the organization and evolving priorities.
Minimum Education and Experience: Bachelor’s degree in Communications, Journalism, English, Public Relations, Higher Education Administration, or a related field. Minimum of 3 years of professional experience in executive communications, organizational communications, or event coordination.
Other Required Qualifications: Strong understanding of executive and organizational communications within a higher education environment. Familiarity with university administrative structures, academic affairs, and student life programs. Knowledge of event planning and communication strategies that support institutional engagement. Exceptional writing, editing, and content development skills for a variety of audiences and formats. Proven ability to write in the voice of a senior leader and convey complex ideas clearly and persuasively. Strong project management and organizational skills with the ability to manage multiple priorities under tight deadlines. Proficiency in Microsoft Office Suite and collaboration platforms (e.g., Google Workspace). Strong attention to detail, with a commitment to accuracy, clarity, and tone. Ability to maintain confidentiality and exercise discretion with sensitive information. Demonstrated initiative, creativity, and adaptability in a fast-paced environment.
