Job Description
Harvard University Information Technology (HUIT) is a community of Information Technology professionals committed to understanding our users and devoted to making it easier for faculty, students, and staff to teach, research, learn, and work through the effective use of information technology. This is a fully benefited, full-time Harvard University position that has been funded for 6 months from date of hire, with possibility of renewal.
Reporting to the Chief of Staff, the Executive Coordinator provides executive support to the UCIO and Chief of Staff, anticipating daily needs and advancing their agenda. As part of a coordinated Administrative Support team, responsibilities include managing calendars, preparing daily briefings, organizing events, drafting communications, handling travel and expenses, and maintaining confidentiality.
Job Specific Responsibilities:
- Scheduling: Manages the UCIO and Chief of Staff’s calendar.
- Daily Briefings: Prepares briefing folders and collects materials.
- Events: Assists in organizing VP/UCIO-sponsored events.
- General Communications: Drafts, proofreads, and edits documents; coordinates conferences and engagements.
- Travel and Expense: Arranges travel and prepares expense reports.
- Other: Supports various leadership needs with flexibility and learning agility.
Qualifications
Basic Qualifications: BA or equivalent; 3+ years of administrative experience; proficiency in MS Office and collaboration tools like Zoom and Slack.
Additional Qualifications: Superior organizational skills, excellent communication, ability to manage multiple tasks, and comfort with confidential material.
