Executive, Event Logistics & Admin Support (NUS Artificial Intelligence Institute)
Job Description
Under the NUS Artificial Intelligence Institute (NAII), we are looking for a suitably qualified candidate to provide event logistics and administrative support.
In a calendar year, the Institute hosts a diverse range of small and big-scale in-person and online events for the NUS and local research ecosystem. There is opportunity to work with a diverse group of internal and external stakeholders, partners and participants.
Key Responsibilities:
- Work collaboratively to provide full spectrum of logistical support for Institute’s meetings, events (e.g. seminars, conferences, industry visits, etc.) as well as its participation in external events
- Serve as secretariat for meetings
- Maintain Institute’s data repository including the various membership schemes, grants and project
- Coordinate the re-appointments of research staff and the engagement of students, interns and visitors and support with on-boarding of NAII faculty member
- Liaise with researchers and vendors on the procurement of goods and services
- Oversee lab space matters including managing seat allocations, ensuring professional presentation for internal and external visitor
- Collaboratively support Institute-level flagship initiatives such as the NAII seed grant
- In addition to the above, the candidate should perform other duties as assigned by the NAII Director.
Qualifications
- Bachelor’s Degree with no experience or Polytechnic Diploma holder, with work experience in fast-paced, dynamic environmen
- Good verbal & written communication and interpersonal skills with a positive work attitud
- Strong organizational and coordination skills with the ability to multi-tas
- Proficient in MS Office applications (Word Excel, Excel, and PowerPoint
- Strong team player who is resourceful and resilient
- The employment will be an initial period of 2 years, with opportunity for renewal subject to performance
