Executive Secretary
The University of Michigan Center for Innovation (UMCI) in Detroit is a transformative initiative dedicated to expanding access to education, promoting innovation, and supporting inclusive economic development. As Executive Assistant, you will be a key partner in advancing UMCI's mission in Detroit. You'll report to the Director of Community Engagement while supporting the Director of Academic Content Strategy and the Director of Strategic Partnerships & Industry Relations. In this role, you'll manage complex scheduling, coordinate travel and events, handle confidential matters, and assist with procurement, HR tasks, and special projects. Your work will keep executive operations running smoothly and make a direct impact on UMCI's success.
The position is designed as a hybrid role (#LI-Hybrid) with a blend of remote and onsite responsibilities. The work location for this position will be in Detroit, Michigan.

- Provide comprehensive scheduling support to the Directors, managing complex calendars, including coordinating in-person meetings, virtual meetings, and conference calls.
- Prepare agendas and take minutes for relevant meetings.
- Coordinate travel itineraries, handle purchasing, and reconcile expenses.
- Help review and maintain website content related to policies and procedures.
- Handle confidential matters in accordance with organizational practices.
- Provide back-up support to other Administrative Leadership staff.
- Assist with Purchasing/Procurement reconciliation (Pcard).
- Lead Request for Proposal (RFP) processes as needed in collaboration with Procurement.
- Coordinate logistics for in-person meetings, conferences, and events, including room reservations, catering, materials preparation, and participant calendar coordination.
- Facilitate arrangements for visitors, meetings, and events, including communications and scheduling.
- Create and review presentation materials for a wide range of stakeholders.
- Manage assigned projects and new initiatives.
- Develop and maintain planning templates for use across units.
- Circulate surveys, compile results, and monitor completion using tools such as Qualtrics, Excel, Google Forms, and Sheets.
- High School Diploma or equivalent
- 5+ years of related experience supporting top-level leaders or executives
- Advanced proficiency in project management/organizational best practices
- Advanced proficiency in Google Workspace (Docs, Sheets, Slides, and Drive), Microsoft Office, and Zoom
- Experience interpreting and implementing organizational policies and procedures.
- Experience handling sensitive and confidential information with integrity, ethical, and professional standards
