Executive / Senior Executive, Academic Programme Manager
About AIDF
The Asian Institute of Digital Finance (AIDF) is a university-level institute at the National University of Singapore, established to advance research, education, and innovation in digital finance. AIDF works closely with academia, industry, and public sector partners to develop talent, drive applied research, and support the growth of the digital finance ecosystem.
Job Purpose
To provide administrative and operational support for AIDF’s academic programmes, including the PhD programme and the Executive Master in AI and Digital Transformation / EMAI programme. The role supports programme delivery, student administration, faculty coordination and academic processes.
Duties and Responsibilities
1. Academic Programme Operations
Support the smooth administration and delivery of AIDF’s academic programmes, including:
- PhD programme: Support student admissions, onboarding, candidature matters, student records, milestone tracking, supervisor coordination, thesis-related administration, and student enquiries.
- EMAI programme: Support class scheduling, faculty coordination, student onboarding, learning materials, programme feedback, and student communications.
- Coordinate with faculty members, students, adjunct lecturers, programme directors, NUS offices, vendors, and external stakeholders.
- Maintain accurate programme records, timelines, databases, documentation, and reporting materials.
- Support preparation of programme updates, statistics, meeting notes, briefing materials, and management reports.
2. Stakeholder Communication and Service Support
- Serve as a key administrative contact point for students, faculty, adjunct lecturers, programme partners, vendors, and internal departments.
- Draft and send programme-related communications, reminders, updates, and follow-up notes.
- Respond to queries professionally and escalate issues where appropriate.
- Support a positive student and faculty experience through timely and reliable administrative coordination.
Requirements
- A recognised degree or diploma with relevant administrative experience.
- Preferably 2 to 5 years of experience in programme administration, student administration, academic operations, executive education, or related administrative roles.
- Prior experience in NUS or another institute of higher learning would be advantageous.
- Familiarity with NUS administrative systems, procurement, finance, student administration would be a strong advantage.
- Strong organisational skills, attention to detail, and ability to manage multiple timelines.
- Good written and verbal communication skills.
- Proficient in Microsoft Office, including Excel, Word, PowerPoint, Outlook, and Teams.
- Service-oriented, discreet, reliable, and able to work with faculty, students, vendors, and internal stakeholders.
- Willingness to support occasional evening or weekend programme activities when required.
