Job Description
The Lien Centre for Palliative Care (“LCPC”) in Duke-NUS Medical School aims to be the premier palliative care research and educational centre in the region. With generous support from the Lien Foundation, strategic collaborations with the National Cancer Centre Singapore and the broader SingHealth institutes within the SingHealth Duke-NUS Academic Medical Centre, LCPC is poised for significant growth in the coming years.
We are seeking for a full-time Executive/Senior Executive to join our team at LCPC. Reporting to the Business Manager, the incumbent will support the Director in the smooth running of the day-to-day operations in LCPC. The responsibilities will include but not limited to the following:
- Provide secretarial, meeting and calendar support to the Executive Director (ED), Head of Education & Head of Research.
- Maintain and ensure that the ED’s resume is kept up to date.
- Schedule, coordinate and provide logistics support for meetings, teleconferences, videoconferences, scientific symposium and interviews for the ED and the Heads.
- Arrange and furnish all bookings and paperwork for the ED and the Heads’ travel, and all LCPC guests visiting Singapore.
- Handle staff claims for ED and Heads, leave applications and any other administrative work as requested by the ED.
- Assist Business Manager in tracking fixed assets and KPIs, seat allocation, licenses renewal.
- Assist in grants and project management activities.
- Handle office procurement requests and invoice payments for the Centre.
- Serve as department liaison for day-to-day operations matters of the Centre.
- Perform other related duties incidental to the work described herein and as requested by the Business Manager.
Qualifications
- Bachelor’s Degree or equivalent in a related discipline.
- Prior relevant work experience in a research/academic environment would be advantageous.
- Minimum 1 to 2 years of relevant working experience; entry level candidates may also be considered.
- Able to work independently.
- Have initiative, open to new ideas, willing to learn and have a growth mindset.
- Meticulous, well-organised and able to multi-task.
- Able to work efficiently in a fast-paced environment.
- Possess good interpersonal and communication skills, and able to work well in teams.
- Proficient in Microsoft Office applications, such as Word, Excel and PowerPoint.
