Coastal Carolina University is currently accepting applications for the following full-time position: Facilities Systems Administrator in the Office of Finance and Administration.
The Facilities Systems Administrator at Coastal Carolina University will play a pivotal role in the successful implementation and ongoing management of a new Computerized Maintenance Management System (CMMS). A CMMS is a digital platform designed to centralize and streamline facilities operations—including work order tracking, preventive maintenance scheduling, asset management, inventory control, and reporting. This system enhances operational efficiency, improves data accuracy, and supports strategic decision-making across campus. As Coastal Carolina University transitions to AssetWorks’ suite of facilities management tools (AiM, ReADY, and Go), this position will be instrumental in leading the onboarding process. The Facilities Systems Administrator will serve as a change agent, guiding departments through system adoption, training, and integration. This role will ensure the CMMS is configured to meet the university’s unique needs and will support continuous improvement through data-driven insights and cross-functional collaboration. In the long term, the Facilities Systems Administrator will serve as the dedicated manager of these systems, ensuring their sustained performance and relevance. The position will be responsible for maintaining system integrity, identifying opportunities for optimization, and driving continuous improvement initiatives. This includes staying current with industry best practices, evaluating emerging technologies, and collaborating with stakeholders to enhance system capabilities in alignment with the university’s strategic goals.

Required Qualifications: Bachelor’s degree in Information Systems, Computer Science, or a related field and relevant experience.
Preferred Qualifications: Experience with systems like SchoolDude, AiM, or 25Live. Work experience in facilities operations, IT support, or administrative systems. Experience providing user support or training in a technical or operational setting. Experience gathering user feedback to improve systems and workflows.
Duties include, but are not limited to:
- Configure, maintain, and enhance the university’s CMMS and related platforms to support core facilities operations. Lead system upgrades and feature rollouts, ensuring alignment with evolving campus needs and industry best practices.
- Maintain accurate asset, space, and maintenance data. Support space utilization tracking and reporting to inform strategic planning and capital projects. Use analytics tools to drive performance improvement and regulatory compliance while remaining sensitive to the human impact of data-driven decisions.
- Manage and support integrations between facilities systems and other campus platforms (e.g., Colleague, 25Live, GIS). Ensure data consistency and operational alignment across departments with varying levels of technical expertise.
- Provide approachable technical support and training tailoring communication to meet the needs of a socially cohesive and non-technical staff. Champion change management by developing relatable messaging, inclusive training materials, and engagement strategies that build trust and encourage adoption.
- Collaborate with internal teams and external vendors to identify opportunities for system enhancements. Participate in professional development and user communities to stay current with emerging technologies and drive continuous improvement.
Information Systems/ Business Analyst I (AM01/TL5808/NS01346P), full-time position with benefits. Salary commensurate with qualifications and experience. Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the special scheduling needs of the university.

Knowledge, Skills & Abilities
Exposure to space planning, asset tracking, or maintenance workflows. Familiarity with system integration concepts or APIs is a plus. Basic understanding of data management principles, including data entry, validation, and reporting. Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and general comfort with technology and databases. Excellent organizational skills and attention to detail. Strong communication and interpersonal skills, with the ability to work collaboratively and support diverse user groups. Proficiency in generating reports for planning, compliance, and performance analysis. Proficiency in Microsoft Office Suite: Especially Excel, for data entry, analysis, and reporting. Capacity to develop user-friendly applications and automated workflows. Demonstrated ability to foster positive change in complex environments by building trust, communicating with empathy, and engaging non-technical, socially cohesive teams in the adoption of new technologies and processes. Willingness to learn and stay current with emerging technologies in facilities operations. Participation in continuous improvement initiatives.
