Facility Operations Coordinator
Job Summary
Department-Specific Responsibilities
- Under the direction of the Facility Operations Specialist, performs day-to-day facility-related activities and tasks meeting the needs of the Jacob School of Music.
- Performs physical labor, such as furniture setup and office moves and ensures approved furniture and items no longer needed are sent to surplus.
- Helps with snow removal or other labor intensive tasks as needed.
- Answers emails, Teams chats, schedules meetings, maintains bulletin boards and collaborates with other members of the facilities team.
- Coordinates and enters facilities service tickets into a system for routine maintenance or repairs. Follows up on service tickets working closely with IU Facilities Operations ensuring timely completion of work and providing building or room access to service personnel where appropriate.
- Assists with scheduled and ad hoc building inspections to identify items that need to be maintained, repaired, or deep cleaned, bringing items in disrepair or unsafe to management's attention.
- Maintains databases to assist in disseminating information quickly and accurately. i.e. Room Occupancy, Furniture Inventory, Semester Start Up Prep Work.
- Serves as backup for Keys and Lockers.
- Performs other duties as assigned.
General Responsibilities
- Coordinates building maintenance projects such as maintenance planning, security/access control, and emergency response. Coordinates fire and life safety, environmental safety procedures, and planning with university personnel and external agencies where required.
- Relays reported problems to the appropriate maintenance staff and may assist with periodic scheduled and ad hoc inspections to identify cleaning and property maintenance needs.
- Assists with preparing estimates for repairs in order for fiscal staff to ensure building maintenance falls within allocated budget with an emphasis on cost-containment.
- Participates in aspects of project development, budget, implementation, and completion.
- Coordinates fulfillment of work orders for corrective action and routine maintenance; monitors progress, escalating complex matters as needed.
Qualifications
EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED)
Preferred
- Some college
WORK EXPERIENCE
Required
- 2 years in facilities management, project management, business operations, or related field
