Duties & Responsibilities:
The Virginia Commonwealth University (VCU) School of Medicine is
seeking a Faculty Recruitment Coordinator to join its School of
Medicine Human Resources Shared Services Team. Reporting to an HR
Administrator, this position provides high-volume faculty
recruitment and onboarding administration for clinical departments
across the School of Medicine.
Working within a centralized shared services HR model, the Faculty
Recruitment Coordinator partners with multiple clinical departments
to support the administrative aspects of faculty recruitment,
appointment processing, and onboarding. This is a fast-paced,
customer-focused position responsible for managing a large volume
of concurrent recruitments while ensuring an exceptional experience
for candidates and hiring departments.
The successful candidate will thrive in a busy environment, possess
exceptional organizational skills, enjoy managing multiple
priorities simultaneously, and demonstrate outstanding attention to
detail. The position works collaboratively with HR Administrators,
HR Business Partners, Faculty Affairs, department administrators,
and central university offices to ensure timely, compliant, and
efficient recruitment and onboarding processes.

Key Responsibilities
Faculty Recruitment Administration
- Coordinate a high volume of faculty recruitment activities for
multiple clinical departments across the School of Medicine.
Partner with hiring departments to initiate faculty recruitment
requests and ensure all required approvals and documentation are
complete.
Prepare and process recruitment and appointment transactions in
accordance with university and School of Medicine policies.
Maintain accurate recruitment records and ensure compliance
with institutional, state, and federal requirements.
Assist departments with applicant tracking system processes and
recruitment workflows.
Support the preparation and routing of faculty offer and
appointment documentation.
Faculty Onboarding Administration
- Coordinate administrative onboarding activities for newly
appointed faculty across assigned clinical departments.
- Ensure all required employment documentation is completed prior
to start date.
- Partner with Faculty Affairs, Credentialing, Information
Technology, Payroll, Immigration Services, Compensation, and other
stakeholders to facilitate a seamless onboarding experience.
- Monitor onboarding milestones and resolve administrative issues
that could delay faculty appointments.
- Serve as a primary resource for onboarding questions and
employment process guidance.
Shared Services HR Support & Customer Service
- Serve as a member of the School of Medicine HR Shared Services
Team, supporting departments across the organization.
- Deliver responsive, high-quality customer service to department
administrators, faculty candidates, and institutional
partners.
- Develop and maintain recruitment tracking reports and
operational metrics.
- Identify opportunities to improve recruitment workflows and
administrative efficiency.
- Participate in cross-functional HR initiatives, process
improvement projects, and team coverage as operational needs
require.
- Assist with additional HR administrative responsibilities as
assigned.
Qualifications:
Minimum Qualifications
- Bachelor's degree or equivalent combination of education and
experience.
- Experience providing administrative, recruitment, or human
resources support in a fast-paced environment.
- Demonstrated ability to successfully manage a high-volume
workload while maintaining accuracy and meeting deadlines.
- Excellent organizational, prioritization, and time management
skills.
- Strong written and verbal communication skills.
- Exceptional customer service and relationship-building
abilities.
- Demonstrated attention to detail and commitment to process
accuracy.
- Ability to maintain confidentiality and exercise sound
judgment.
- Proficiency with Microsoft Office Suite.
- Demonstrated ability to work in and foster an environment of
respect, professionalism and civility with a population of faculty,
staff, and students from all backgrounds and experiences, or a
commitment to do so as a staff member at VCU.
Preferred Qualifications
- Experience supporting recruitment or onboarding in higher
education, healthcare, or academic medicine.
- Experience working in a centralized or shared services HR
environment.
- Experience using applicant tracking systems and HR information
systems.
- Knowledge of faculty appointment and onboarding processes.
- Familiarity with VCU HR systems and/or School of Medicine
operations.

Salary Range: $58,000-$65,000
