Job Summary:

The Harvard Graduate School of Design (GSD) educates design, research, and scholarship leaders to make a resilient, just, and beautiful world. Reporting to the Director of Faculty Affairs, this position coordinates and facilitates faculty searches on behalf of the GSD’s academic departments, working as part of a team with the Associate Dean for Faculty Affairs, other search coordinators, and senior faculty Search Committee Chairs.

Please note: This is a full-time, two-year term appointment with the possibility of an extension.

Job-Specific Responsibilities:

  • Assist with highly confidential faculty search processes for GSD faculty positions.
  • Staff junior search committee meetings; schedule meetings, take notes, maintain search records, and work closely with search committee chairs regarding scheduling and search timeline.
  • Coordinate and track outreach efforts including formal advertisements, postings on appropriate online job boards, and informal outreach conducted by members of the search committee.
  • Monitor and manage applicant pool using Harvard’s applicant portal; serve as resource for search committee members to facilitate their use of the portal (ARIeS).
  • Provide note taking, administrative, and scheduling support for senior faculty searches, in support of the search chair and the Associate Dean.
  • Coordinate workflow between search committees and the Faculty Affairs office regarding searches, timelines, compiling materials for cases, distribution of cases, and calendar for discussions and votes on appointments and promotions.
  • Coordinates transitions from long list to short list to finalists, assuring clear and timely communication with candidates.
  • Organizes finalist visits to the GSD campus including scheduling, arranging public or invitation-only talks, candidate accommodations, schedule for the day, and meals/catering.
  • May assist with drafting memoranda and other documents recommending new external hires from the searches.

SUPERVISORY RESPONSIBILITIES:

There are no supervisory responsibilities associated with this position.

WORK ENVIRONMENT:

This position will be based in Cambridge, MA. The work is mainly performed in an office setting. Flexible work options for this role will be discussed during the interview process.

PHYSICAL REQUIREMENTS:

Position requires sitting, reading and computer use for extended periods of time. Applicants must be able to perform typical office tasks, using standard office equipment, and occasionally lifting up to 20 pounds. SALARY INFORMATION:

  • The specific annualized hiring range for this position will be $61,894 - $70,000.

Salary ranges within each pay grade are based on qualifications, skills, experience, equity in comparison to similar positions, and external market values. Salary ranges allow for differences among positions within the same grade as well as increasing levels of responsibility and performance within the same job. Qualifications

Basic Qualifications:

Candidates MUST meet the following basic qualifications in order to be considered for this role:

  • HS Diploma or equivalent, required
  • Minimum of three years related experience in academic administration, particularly accomplished with scheduling and working with faculty.
  • Experience in creating and maintaining tracking systems and ability to learn Harvard-specific applicant management system quickly.
  • Tact and diplomacy required for working with faculty committees and supporting efforts to engage them directly with applicant tracking and evaluation systems.
  • Strong project management and communication (written and verbal) skills in a deadline-driven environment with competing priorities.

Additional Qualifications and Skills:

  • Bachelor’s degree preferred
  • Ability to work effectively and with tact and discretion across the organization
  • Ability to handle sensitive/confidential situations diplomatically
  • Proven ability to take initiative and to work collaboratively with a variety of people and departments
  • Prior experience working closely with faculty members and/or in academic affairs or faculty administration in a college or university is strongly preferred.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
