The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

This position is responsible for compensation analysis, budget support, salary distribution tracking, vacancy monitoring, reconciliation of compensation-related transactions, and coordination of documentation required for appointments, changes, and funding actions. The role helps maintain strong internal controls and accurate departmental records while supporting operational continuity across faculty and staff administration.

Responsibilities

  • Provide analytical and operational support for departmental compensation processes, position maintenance, and related documentation. Monitor end dates, extensions, and staffing changes to help maintain accurate compensation records.
  • Assist with weekly and biweekly compensation cycles for casuals, Variable Hour Officers, and support staff, including overtime and absent without pay transactions. Review salary funding distributions, suspense activity, and reconciliations to identify discrepancies, support corrections, and escalate issues as needed.
  • Support development and maintenance of compensation budgets, projections, and related schedules for faculty and staff. Update budget models for hires, terminations, compensation changes, leaves, vacancies, and funding changes. Assist with budget-to-actual review, variance analysis, and preparation of materials for leadership.
  • Maintain accurate tracking and documentation for all faculty and staff, including position status, compensation changes, vacancy status, salary distributions, and funding updates. Ensure records are current, complete, and supported by appropriate documentation.
  • Develop and maintain logs, trackers, templates, and reports to support accurate recordkeeping, timely follow-up, and consistency across departmental processes. Coordinate with stakeholders to help confirm records remain accurate across systems.
  • Monitor suspense, overdrafts, and other compensation-related funding issues and support timely resolution. Assist with salary distribution updates and cost transfers, ensuring supporting documentation is complete and maintained.
  • Prepare recurring and ad hoc reports related to compensation, staffing, vacancies, budgets, reconciliations, and funding activity. Support process improvements that strengthen documentation, controls, and operational consistency.
  • Other duties as assigned.

Minimum Qualifications

Bachelor’s degree or equivalent in education and experience required; 3 years of related experience in compensation administration, compensation operations, or related financial operations.

Preferred Qualifications

  • Experience in an academic medical center is highly desirable.
  • Experience with ARC, PeopleSoft, PAC, and budget tools is highly desirable.
  • Working knowledge of human resources policies and procedures.
  • Experience supporting complex faculty compensation models is highly desirable.

Other Requirements

  • Must successfully complete online systems training requirements.
  • Strong working knowledge of compensation administration processes and controls.
  • Excellent organizational and interpersonal skills.
  • Excellent verbal and written communication skills, with the ability to communicate clearly and collaboratively.
  • Exercises professionalism, diplomacy, discretion, and sound judgment when working with individuals at all levels.
  • Ability to manage competing priorities and deadlines in a high-volume environment.
  • Strong attention to detail.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
