Summary:
The Front Desk Coordinator will serve as the first point of contact for patients, visitors, students, and faculty in a busy dental school clinic environment. This position supports daily clinic operations by managing patient scheduling, check-in/check-out procedures, communications, and accuracy in billing and insurance processes duties. The Front Desk Coordinator ensures welcoming, organized, and efficient front office experience while supporting the educational mission of the dental school.
Principal Functional Responsibilities:
Administrative and Departmental Support:
- Assist with development and updates to standard operating procedures to enhance consistency and efficiency.
- Assist with reporting related to scheduling, patient flow, and insurance metrics.
- Act as a liaison between clinical faculty, students, and administrative teams to ensure smooth clinic operations.
- Support operational planning for special clinics, exams, or outreach events.
- Assist with maintaining compliance with HIPPA, Medicaid, Medicare, and private insurance regulations.
Patient Reception and Customer Service:
- Oversee daily front-desk operations, ensuring timely patient check-in, check-out and smooth patient flow.
- Serve as the primary contact for patient inquiries regarding appointments, treatment status, clinic policies, and financial questions.
- Maintain accurate patient records in the electronic health record (EHR) system.
- Assist and support front office staff and student workers on scheduling protocols and patient service procedures.
- Participate in staff development, training sessions, and college-wide clinical initiatives.
- Support the smooth operation of the clinic.
- Perform insurance verification for patient appointments, including eligibility, coverage limits and procedure authorizations.
- Support patient billing processes, including generating treatment estimates, collecting payments, and answering billing inquiries.
- Work closely with the billing department to resolve discrepancies, submit claims, and ensure accurate documentation.
- Facilitate efficient patient scheduling, patient engagement, patient satisfaction surveys distribution and survey results collection.
Student Scheduling:
- Coordinate student clinic schedules in alignment with academic rotations, faculty availability, and clinic needs.
- Update and maintain scheduling systems to reflect student assignments, chair availability, and preclinical/clinical activity changes.
- Communicate scheduling changes clearly and promptly to students, faculty, and clinical leadership.

Perform other related duties as assigned.
Qualifications:
- High school diploma.
- Minimum 3 years of dental front office experience.
- Experience with patient scheduling, insurance verification, and billing practices
Preferred Qualifications:
- Associate’s degree or equivalent experience.
- Prior experience in a dental school or academic healthcare setting.
- Familiarity with dental terminology, CDT and ICD codes, and insurance requirements.
- Proficiency with dental EHR systems and scheduling software.
Physical Requirements:
Must be able to utilize a phone, computer and other office equipment. This role operates in a clinical environment within an academic institution. The position requires consistent interaction with students, patients, faculty, and staff, and may involve extended periods at a computer and the front desk.

Starting Pay Rate Range: $18.12 – $21.44, commensurate with experience.
