Position Description

The Gift Planning and Donor Stewardship Coordinator provides administrative support for the Gift Planning and Donor Relations team, including high quality donor relations, stewardship support, student and donor data tracking, and donor marketing support.

POSITION SUMMARY

Primary responsibilities involve donor relations with Seattle University's Legacy Society members. This includes coordinating production and mailing of invitations and stewardship communications, Legacy Society and probate tracking, Raiser's Edge database updates, initiating queries and list requests, and arranging for donor gifts and flowers for memorial services.

A second primary responsibility is generating weekly acknowledgements (digital and print) for all gifts to the university. In supporting the Donor Stewardship team, this position assists with scholarship stewardship for donors and communication with student scholars through Scholarship Universe, the university's scholarship awarding platform. Some tasks require coordinating scholarship stewardship touchpoint opportunities with development officers, students, and donors.

This position also manages gift planning marketing projects at Seattle University. Responsibilities include coordinating the Gift Planning program's e-Newsletters using online software, tracking constituent inquiries, supporting production of direct mail solicitations and email blasts, and updating collateral and the planned giving website.

The Gift Planning and Donor Stewardship Coordinator supports operations and budget tracking for the team. This position may staff events and meetings on occasional evenings, weekends, and early mornings. The Coordinator is expected to work in a team setting with other administrative assistants and advancement colleagues. Duties for this position require working in the University Advancement office at least two days a week. The Coordinator may also perform other duties of a similar nature as assigned to achieve the goals of University Advancement.

Legacy Society & Donor Database Tracking:

  • Management of constituent data in Raiser's Edge database. Partner with colleagues to update constituent records, perform queries, request complex constituent lists and generate reports.
  • Implement process for new Legacy Society members.
  • Manage Legacy Society birthday card program, including a monthly email to UA colleagues sharing key donor birthdays for signature.

Donor Stewardship Team Support:

  • Weekly, process and send print or electronic gift acknowledgments to donors.
  • Assistance in the coordination and execution of scholarship stewardship for donors, including outreach to current scholarship recipients to request and process biographical information, quotes, stories and videos; participation at campus events; and 1:1 or small group gatherings with donors.
  • Under the supervision of the Associate Director of Donor Relations and Stewardship, provide support for the collection, editing and mailing of scholarship bios to donors.
  • Fulfill requests from development colleagues for information on scholarship recipients, endowment values and gift agreements.
  • Support the mailing of new President's Club member welcome packets and membership renewal emails monthly. Facilitate President's Club member parking requests with the SU Transportation Services team.
  • Assist with routing endowment agreements, helping to set up funds through the Controller's office and adding attributes in the RE fund record.
  • Provide administrative assistance for ad hoc mailings and other communications to donors.
  • Manage contact report updates to Raiser's Edge for stewardship and donor relations touchpoints and communications.

Gift Planning Marketing:

  • Support Gift Planning's regular marketing initiatives, which can include quarterly e-newsletters, an annual print newsletter, e-blasts, direct mail pieces, postcards, etc.
  • Review website and email marketing analytics to inform marketing practices.
  • Make as-needed updates to gift planning website.
  • Generate Legacy information packets.
  • Collaborate with Annual Giving team on marketing and outreach opportunities.

Event and Meeting Management Support:

  • Donor webinar logistics support.
  • Donor meeting support: coordinating calendars, room reservations, light catering management, coordinating parking.
  • Collaborate with the UA Events team and other campus partners to execute events.

Program Support:

  • Project management and check-ins with supervisors to discuss and prioritize objectives.
  • Support estate and probate tracking and research. Maintain electronic file system and hard files.
  • Develop basic knowledge of development and charitable estate planning.
  • Maintain office stationery and supplies.

Budget:

  • Maintain budget for Gift Planning and track expenses throughout the year.
  • Process reimbursements, vendor payments, invoices.

Qualifications

  • High School diploma or equivalent and one to two years of previous administrative support experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • Demonstrated commitment to diversity and the university's mission, vision and values.
  • Strong interpersonal communication skills both on phone, and in person.
  • Demonstrate writing skills with command of grammar and English usage to include accuracy in proofreading, composing correspondence and editing.
  • Ability to make administrative and procedural decisions on sensitive, confidential matters, and the ability to maintain confidentiality of information.
  • Consistent follow through with commitments and meeting deadlines. Must be able to prioritize and organize activities to accomplish multiple tasks in a fast-paced work environment.
  • Ability to anticipate next steps, take initiative, be a self-learner, and apply sound judgment.
  • Willingness to learn fundraising databases and CRMs.
  • Proficiency in Microsoft Office software.
  • Awareness of challenges faced by historically underrepresented populations, cultural differences, and openness to personal reflection and learning.

PREFERRED QUALIFICATIONS

  • Experience working in development, marketing or communications.
  • Demonstrates ability to work independently, as well as ability to work effectively in teams and in support of supervisor(s).
  • Experience and/or willingness to learn visual design software (InDesign).

Compensation at a Glance

Salary Range: $54,000.00 annually.

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible

This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months.
