Global Education Program Manager

The global education program manager is a critical contributor to the Office of International Affairs' mission of facilitating and administering accessible education abroad programming of high academic quality for Ohio State students. As a member of a highly motivated and productive team, the program manager administers a portfolio of 30+ Ohio State faculty-led education abroad programs from program planning through execution and closure, including logistics planning, budget management, and financial solvency and stewardship. Together, the program manager team oversees 70-100 faculty-led programs with a combined annual budget of approximately $4 million.

In accordance with University and unit policies, the program manager administers the setting of faculty-led budgets, ensuring quality control and compliance; leads the competitive bid and procurement process for travel services, including review and submission of program specifications/RFPs; reviews program itineraries to ensure adherence to Ohio State policy and international education best practices; completes requisition, spend authorization, payment and expense processes for global education program travel via WorkDay; creates and maintains internal databases for tracking program logistics, budgets, and payments.

The program manager serves as unit consultant and expert for the global education program fee-setting process and international travel logistics and arrangements. Using knowledge of Ohio State purchasing, travel policies and procedures, and in consultation with the Office of Academic Affairs Business Services & Finance, the program manager continually supports, trains, and advises global education staff and faculty and staff program resident directors on procurement of services and budget development. This position also manages complex communications related to program logistics and fiscal arrangements with global education specialists, college global education liaisons, faculty and staff resident directors, host institutions, travel providers, the Universitys contracted travel agencies, the Office of Academic Affairs Business Services & Finance, the University Procurement Service Center, the Travel Office, the PCard Office, Global Health & Safety, and the Office of Risk Management. The program manager has delegated signature authority from the Director to review and approve fiscal transactions for budget and appropriateness.

The program manager coordinates and administers 1 to 2 global education programs per academic year in conjunction with academic units and/or the Office of Global Education; advises and orients student and faculty participants; manages student and resident director application processes in Terra Dotta; monitors and evaluates programs in consultation with relevant faculty and academic units.

Other responsibilities include serving on the faculty-led programs new proposal and/or reauthorization review committees; promoting study abroad at Global Education and other university events; delivering presentations for student recruitment; attending monthly meetings with the Office of Academic Affairs Business Services & Finance team and the university-contracted travel agency; holding a Global Education office PCard; managing Global Education purchases and expense reports; and collaborating with college liaisons on financial planning and strategy for faculty-led programs.

Performs other duties as assigned; serves as back-up emergency responder on an occasional basis; attends and participates in relevant professional development opportunities and activities.

Minimum Education Required

  • Bachelor's Level Degree or equivalent combination of education and experience.
  • 4 years of relevant experience required.

Required Qualifications

  • Bachelors degree required.
  • Proven ability to manage multiple projects and meet deadlines in a fast-paced, dynamic environment with a high level of accuracy and timeliness.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Minimum of two years experience in project or program management, with demonstrated responsibility for planning, leading, organizing, and controlling inputs and outcomes.
  • Exceptional written and verbal communication skills, with strong negotiation abilities.
  • Meticulous attention to detail and a commitment to quality.
  • Strategic thinker with the ability to align actions with unit goals and mission.
  • Self-motivated and capable of working independently, while also thriving in collaborative team settings.
  • Professional and positive demeanor, with a strong work ethic and interpersonal skills.

Desired Qualifications

  • Professional and/or personal experience in international settings, demonstrating cultural awareness and adaptability.
  • Familiarity with university environments, including current trends in student development and international travel.
  • Understanding of university internationalization strategies and initiatives.
  • Knowledge of university purchasing and travel policies, procedures, and systems.
  • Solid grasp of budgeting principles and cost accounting concepts.

Office Hours: Monday–Friday, 8:00 AM–5:00 PM

Work Arrangement: Employees are required to work on-site three days per week, with Tuesday and Wednesday designated as mandatory in-office days. The remaining two days may be worked remotely, based on team needs and manager approval.

The Targeted Hiring Range for this position is $51,500 - $58,000. The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
