Primary Purpose of the Organizational Unit
The Graduate School performs all administrative functions related to graduate studies at The University of North Carolina at Greensboro (UNCG). Almost 25% of all students at UNCG are graduate students, and 23% of all degrees earned have been at the graduate level. The Graduate School is responsible for creating and maintaining the official graduate student database within the Universitiy’s Banner Student Information System for access by all other concerned units on campus. All admissions, activities and issues related to enrolled students, clearance for graduation, assistanships, fellowships, scholarships, health insurance, and awards are administered by the Graduate School.
Position Summary
This position is located within the graduate admissions unit. It is responsible for managing the application process (compiling, organizing, monitoring, auditing, communicating, etc.) for a designated group of graduate programs. This position also assists in retention efforts of the Graduate School by identifying potential students needing additional assistance and directing them to the appropriate staff or office.

Key Responsibility: Manage the application process for students applying to selected graduate programs and for non-degree seeking students pursuing graduate level courses.
Percentage Of Time: 40%
Essential Tasks:
- Use Slate and Banner technology, as well as other office equipment, to ensure that applications are processed in a timely manner with accuracy and in alignment with requirements for individual graduate programs and the policies/procedures established within the Graduate School.
- Enter data correctly and/or interpret information on screens to reveal in-depth knowledge of the Banner Student Information module and Slate software.
- Use standard office equipment (computer, printer, copier, scanner, etc.).
- Remain organized and set priorities appropriately when multiple demands are placed on employee’s time.
- Establish a daily routine to meet usual demands of position yet remain flexible enough to deal with immediate urgency’s that may take priority.
- Identify issues or problems related to use of software and with student applications processes and choose appropriate course of action for resolution of the issues.
- Follow processing guidelines established in The Graduate School to provide timely and high-quality performance.
- Use sound judgment in determining which problems can be resolved individually and when consultation with others is needed.
- Participate in team efforts to improve processes related to applications and admission of graduate students, taking initiative to ask questions, make suggestions, and test new processes.
- Remain reliable in attendance and in attention to Graduate School expectations for professional conduct.
- Assist department/program staff in planning & monitoring processes specific to applicants in their department.
- Consult in advance with other areas of the office that may be affected when practices change or are created. Proactively work to support and sustain collegiality.

Essential Tasks:
- Stay abreast on specific program requirements and deadlines.
- Build and maintain working relationships with faculty and staff to facilitate information sharing.
- Attend recruitment fairs and department events.
- Work with Enrolled Students Services on the academic probation report.
- Provide outreach to these students, directing them to campus resources.
Key Responsibility: Assist with records maintenance in The Graduate School.
Percentage Of Time: 20%
Essential Tasks:
- Ensure that records (electronic and paper) are organized and maintained to permit ease of retrieval.
- Follow Graduate School guidelines for scanning, retention and storage of documents. Use available technology to identify student records for assigned programs that need follow up or have aged out.
- Follow instructions for producing specific and routine reports with Banner or Slate software.
- Identify records that need to be scanned for permanent storage of data and ensure that the task is completed accurately, appropriately, and in a timely manner.
- Follow Graduate School and FERPA guidelines to protect confidentiality and security of information.
- Responsible for correcting duplicate records in Banner and Slate.
- Provide guidance for graduate assistant(s) assigned to area regarding proper record management.

- Explain admissions policies and procedures to applicants, faculty, and staff, providing assistance as needed.
- Discuss and clarify requirements of assigned graduate programs and their admissions policies and procedures, as well as the policies and procedures of The Graduate School.
- Initiate and respond to written and verbal communications from and about graduate applicants.
- Listen carefully and respond in a prompt, courteous, and professional manner with an awareness of personal impact and interaction with diverse audiences so as to provide high-quality customer service.
- Use correct grammar and spelling.
- Articulate ideas in a clear and organized manner that is free of office jargon when communicating with customers outside the unit.
- Maintain courteous, clear, direct, and open communication focused on office needs with all appropriate staff.
- Take initiative to resolve conflicts or questions directly by clarifying communication whenever possible; seek a supervisor’s intervention when necessary.
- Avoid abrupt or inappropriate tone, particularly in electronic communication.
