Duties/Responsibilities:

  • Email Correspondence: Respond to and route incoming email correspondence to the appropriate departments or individuals. Answer basic questions and escalate as needed. Maintain an organized email system, ensuring timely responses and follow-ups. (55% of time)
  • Organizing and Filing: Assist in organizing and maintaining physical and digital office files. Ensure that all documentation is properly categorized and accessible. (25% of time)
  • Event Planning and Assistance: Support the planning and execution of student events. Assist with the coordination of event organizers to ensure all logistical details are appropriately handled. Assist with setup and cleanup. (10% of time)
  • Administrative Assistance: Provide general administrative support as needed, including photocopying, data entry, and other tasks. Assist with inventory management and organizing supplies. Take on additional responsibilities, as necessary, to support the smooth operation of the office. (10% of time)

Position Summary: This position supports the administrative operations by primarily responding to and routing email correspondence. This role will also involve organizing, filing, and assisting with events. Additional administrative tasks may be assigned as needed. This part-time position should demonstrate a high level of professionalism, integrity, and respect for others, as well as a commitment to excellence while contributing to creating an efficient, supportive, and positive work environment.

Knowledge, Skills, Abilities and/or Competencies: Strong communication and interpersonal skills, Proficiency with email systems and basic office software (e.g., Microsoft Office Suite), Ability to work independently and as part of a team, Attention to detail and ability to manage multiple tasks, Problem-solving skills and the ability to adapt to new situations
